Job description

Executive Assistant, Tax and Treasury Fortive is seeking an experienced Executive Assistant to support the Vice President of Tax and the Vice President of Treasury. This is a broad, high-trust role that keeps two global functions running smoothly: it combines executive support with hands-on department operations, event and program coordination, and financial administration across tax and treasury. The person in this role is the operational center of the Tax and Treasury organization.

On any given day that can mean protecting two demanding calendars, moving approvals and invoices forward, supporting daily treasury banking activity, coordinating a global team summit, and making sure the team has the information, materials, and logistics it needs. The work spans multiple time zones, recurring planning and reporting cycles, external advisor and banking relationships, and a steady flow of time-sensitive requests. We are looking for someone who is highly organized and service-oriented, exercises sound judgment with confidential financial information and is comfortable owning recurring processes end to end rather than waiting to be asked.

Familiarity with tax, treasury, or finance operations is helpful; a willingness to learn systems such as banking portals, expense and procurement tools, and workflow platforms is essential. What You Will Do Executive support and calendar management Own and coordinate the calendars of both executives across global time zones, resolving conflicts, protecting preparation and transition time, and escalating trade-offs when priorities compete. Support meeting preparation with agendas, pre-reads, participant background, and materials, and maintain the notes, action trackers, and contact information that keep follow-through visible.

Provide inbox and correspondence support, including routing approval requests, drafting routine scheduling messages, and flagging items that are aging. Meetings, events, and team programs Coordinate the full range of internal and external meetings for the function, from recurring leadership and business reviews to bank meetings, advisor sessions, tax planning discussions and other team meetings. This includes conference rooms, visitor registration, virtual meeting links, room set-up, and catering.

Coordinate the agenda and lead the logistics for global team meetings which occur 2-3 times per year. Travel, expenses, and corporate cards Plan complex domestic and international travel, monitor itineraries for disruption, and coordinate passports, visas, and travel approvals in line with Fortive policy. Prepare and submit expense reports for both executives, prepare monthly reconciliations and request approval for department procurement card and travel card expenses.

Financial and document administration Route invoices for approval according to the approval matrix and submit approved invoices for payment. Manage signature requests to both executives and ensure routing of completed documents. Assist with annual department budget process, monthly reclasses and accruals, and updates to budget forecast of the tax department.

Treasury banking operations support Support daily treasury operations, including entering outgoing wires in banking portals, administering bank portal users, monitoring the treasury mailbox, and assisting with other treasury transactions. Training is provided, but the role requires precision, security awareness, and consistent attention to daily deadlines. Department operations and team information Maintain the records that keep a global function organized: team organization charts, outlook distribution lists, team rosters, and other standard work for the department.

Manage professional memberships and continuing education registrations for the tax organization, handle daily tax and treasury mail, ensure IT support for both executives, submit on-boarding requests for new hires to the tax and treasury organization, and provide general workplace support alongside the broader corporate administrative team. Scope and Decision-Making This role operates with significant independence inside established priorities and policies: Make routine calendar and travel decisions, and accept meeting requests from established external advisors, escalating anything outside agreed parameters. Send routine scheduling, logistics, and follow-up communications on behalf of the executives.

Manage procurement card spending, event budgets, and routine vendor coordination within policy and approval limits. Resolve day-to-day administrative and operational issues and identify opportunities to simplify recurring processes. What you Bring Eight or more years supporting senior executives in a fast-paced, complex environment; experience in Finance, Tax, Treasury, or another corporate function is preferred.

Demonstrated success managing executive calendars, complex international travel, and expense reporting for more than one leader. Comfort with financial and operational administration, such as invoice routing, corporate cards, budget tracking, and vendor coordination. Advanced proficiency in Outlook, Teams, SharePoint, Word, Excel, and PowerPoint, and the ability to learn banking, expense, workflow, and e-signature systems quickly.

Strong judgment and discretion with confidential financial, tax, treasury, and personnel information. Exceptional organization, prioritization, and follow-through across many concurrent deadlines and recurring cycles. Fluency or willingness to learn and utilize AI tools for drafting, summarization, meeting preparation, action tracking, and presentation support.
