About the Job

The Hubbard School is seeking a curious, proactive professional eager to build a career in higher education as an Undergraduate Student Services Coordinator. This role balances essential academic administration with the opportunity to actively shape the undergraduate Hubbard experience, bridging connections and building a dynamic, inclusive community.

As a primary resource for prospective and current students, this position will ensure that vital administrative operations run smoothly behind the scenes. This role is designed for a self-starter who takes ownership of their work, collaborates effectively with faculty and staff, identifies areas for system improvement, and takes the initiative to keep our student services running seamlessly. The core work includes:

  • Drive Student Belonging: Provide proactive support for prospective and current students to help them navigate their academic journey and feel deeply connected to the Hubbard community.
  • Own the Details: Take full ownership of critical backend administrative processes. This incudes ensuring a seamless admissions application experience to managing accurate funding, and supporting co-curricular student organizations. Exceptional student experience relies on organized, accurate, and independent execution.
  • Launch New Initiatives: Collaborate with faculty and staff to envision, champion, and execute fresh ideas that elevate student life and engagement at the Hubbard School.

Appointment & Schedule

  • Classification: This position is being posted as a Student Services Professional 1 (8461MD).
  • Type: 100%-time (40 hours/week), 12-month, annually renewable Civil Service appointment (Non-exempt).
  • Hours & Schedule: Monday through Friday, 8:00 am 4:30 pm.
  • Work Structure: This is a hybrid position based at Murphy Hall on the Twin Cities East Bank. The schedule adapts to the academic calendar, requiring mostly in-person work during the fall and spring semesters, and allowing for mostly remote work during university breaks and the summer.

Responsibilities

Recruitment and Pre-major Advising (30%)

  • Meet individually with prospective students, incoming freshmen, transfer students, and parents to promote the undergraduate program and answer questions.
  • Design and implement undergraduate student recruitment initiatives, including JOUR 1001 presentations, transfer student outreach, major fairs, conferences, and multi-departmental events.
  • Advise prospective undergraduate students on major selection and the application process.
  • Develop and execute promotion and recruitment strategies for the new sports media and promotion minor.

Student Services (20%)

  • Serve as a front-line presence for student and faculty inquiries, directing them to the appropriate person or resource.
  • Approve program plans for mass communication, digital media studies, and the sports media and promotion minor; advise students on course selection and degree progress. 
  • Manage professional development financial requests, serve as the point person for purchases related to undergraduate programming, and handle payroll entry for undergraduate hires.
  • Oversee Hubbard-affiliated student organizations, providing guidance to student leaders and faculty advisors on content, processes, structure, and university policy.
  • Manage the Hearst Award and Kappa Tau Alpha honors processes.
  • Provide operational support to the Director of Undergraduate Studies (DUS) and other faculty on student-related issues.

Communications and Outreach (20%)

  • Create and distribute The Murphy Weekly, an e-newsletter for undergraduate students.
  • Develop messaging, outreach, and programming that encourages Hubbard students to pursue co-curricular opportunities and meaningful professional experiences.
  • Oversee the Student Ambassador program.
  • Manage student-oriented digital signage messaging throughout Murphy Hall.
  • Coordinate with the Hubbard Career Coach to develop career readiness events and outreach.
  • Develop and communicate announcements regarding courses, internship opportunities, scholarship awards, and other student resources.

Admissions and Scholarship Coordination (20%)

  • Conduct pre-major information sessions and maintain/improve the online pre-major presentation annually.
  • Present pre-major information at transfer student orientations.
  • Manage the application review process (approximately 200 applications each semester) for the Admissions Committee.
  • Coordinate the Hubbard scholarship process, including promotion, correspondence with award recipients and donors, and the generation of reports and data queries.

Service, Professional Development, and Special Projects (10%)

  • Attend and staff Hubbard Undergraduate Committee meetings, take minutes, and present relevant student services data/information when needed.
  • Serve on the Hubbard Student Success Committee and other committees as appropriate.
  • Manage special projects as requested by the Hubbard Director, DUS, and other faculty.
  • Develop new initiatives for student services that actively strengthen the Hubbard School's commitment to belonging and student success.
  • Pursue ongoing professional development in student affairs, advising, technology, and project management.
Qualifications
 

Required Qualifications

  • Education/Experience: BA/BS Degree, or a combination of education and relevant work experience to equal at least four years.
  • Student Engagement: Demonstrated experience working directly with or providing services to undergraduate students from diverse backgrounds and identities. 
  • Administrative & Technical Competency: Proficiency with standard office organization and communication software, including Google Workspace, Microsoft Office, and basic web content management tools. 
  • Collaborative Support: Experience working in an office or educational setting that required routine collaboration with multiple stakeholders (e.g., students, clients, faculty, or staff).

  • Strong Communication: Excellent written and interpersonal communication skills, particularly in translating complex information into clear, welcoming messages for students
  • Self-Directed Initiative: A proven self-starter with the ability to navigate complex systems, understand institutional processes, and proactively initiate work with minimal supervision.
  • Detail Orientation & Quality Standards: Exceptional organizational and time-management skills, with a track record of maintaining high-quality, accurate work while managing multiple deadlines.
  • Proactive Problem Solving: Strong critical thinking and decision-making skills, with a demonstrated ability to troubleshoot administrative bottlenecks and suggest system improvements.
  • Adaptability: Flexibility in interpreting and applying a wide variety of university procedures, academic guidelines, and administrative policies.
Pay and Benefits
 

Pay Range: $22.00 - $25.00 per hour ($45,760 - $52,000 annually); depending on education/qualifications/experience
