Job description

Position Summary

The Client Success Coordinator provides administrative and coordination support to the Client Success team, helping to ensure successful outcomes for tenants and clients in their construction dealings with York Realty Inc. Working under the direction of the Client Success Manager, this role supports day-to-day project administration, stakeholder communications, documentation, and tracking activities that keep landlord work and tenant improvement projects moving on schedule and within budget.

Key Responsibilities

Project Coordination Support

  • Assist theClient Success Teamin coordinating landlord work and tenant improvement projects from initiation through closeout
  • Maintain project trackers, schedules, and status logs to support consistent reporting
  • Help prepare meeting agendas, take meeting minutes, and distribute action items to project teams and stakeholders
  • Follow up on outstanding action items and deliverables to keep projects on track
  • Other duties as assigned

Documentation & Administration

  • Organize andmaintainproject files, drawings, lease documents, and correspondence in shared systems
  • Support the review of tenant lease agreements by gathering and summarizing landlord obligations for the Client Success Manager's review
  • Assistwith preparing Change Notices (CCN), Change Orders (CO), and related documentation for review and approval
  • Update Construction Manager and Yardi with project information, invoices, and cost tracking entries under the direction of theSeniorClient Success Manager

Stakeholder Communication

  • Serve as a first point of contact for routinetenant,contractor, and consultant inquiries, escalating issues to theteamas needed
  • Maintain consistent and professional communication with internal and external stakeholders
  • Support relationship-building with tenants by responding promptly and following through on commitments

Reporting & Tracking

  • Compile data and prepare draft project status reports for theteam
  • Track project milestones, deliverables, and budget items, flagging variances for follow-up
  • Support project closeout activities, including gathering documentation and contributing to lessons-learned summaries

What you bring to York

  • Post-secondary education in business administration, construction management, real estate, or a related field, or equivalent experience
  • 5 years' experience in an administrative, coordination, or project support role; exposure to construction or real estate is an asset
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • Strong attention to detail and accuracy in documentation and data entry
  • Clear written and verbal communication skills, with a professional and approachable manner
  • Proficiencywith Microsoft Office (Outlook, Word, Excel); willingness to learn Yardi, Construction Manager, and other internal systems
  • Eagerness to learn, take initiative, and grow within the Client Success team
  • Ability to work collaboratively with a positive attitude
