Subcontracts Administrator - Early Works
Play an integral role in delivering successful projects by managing the subcontracting processes that support safe, efficient, and cost-effective project execution. As a Subcontracts Administrator, you will serve as a key link between project teams, contractors, suppliers, and operational stakeholders, helping ensure that critical services are sourced, contracted, and administered in alignment with project objectives, contractual requirements, and customer expectations.
This role offers the opportunity to contribute directly to project success while developing expertise in procurement, contracting, commercial administration, and supplier management within a dynamic EPC environment. Working alongside experienced project, procurement, construction, and commercial professionals, you will support the delivery of complex projects across the energy, chemicals, and resources sectors.
Purpose of the role
The Subcontracts Administrator is responsible for supporting the administration of subcontracting activities associated with construction services, specialty contractors, consultants, equipment providers, and other project service requirements. You will assist with the planning, solicitation, evaluation, negotiation, award, administration, and closeout of subcontract agreements while ensuring compliance with company procedures, project requirements, and contractual obligations.
Working under general supervision, you will coordinate subcontract administration activities, support proposal and award processes, monitor contractor performance, and help facilitate the successful delivery of subcontracted services. Through effective communication, attention to detail, and strong organizational skills, you will contribute to project execution while supporting commercial, operational, and supply chain objectives.
You will be responsible for:
  • Supporting the administration of subcontracts for construction services, specialty contractors, consultants, and other project-related services.
  • Assisting in the identification, evaluation, solicitation, and selection of qualified contractors and service providers.
  • Coordinating the preparation, issuance, and administration of requests for quotation (RFQs), requests for proposal (RFPs), and subcontract documentation.
  • Supporting commercial evaluations, bid analyses, and award recommendations in accordance with company procedures.
  • Assisting with subcontract negotiations related to pricing, scope, schedule, commercial terms, and contractual requirements.
  • Preparing and maintaining subcontract documentation, records, correspondence, and contract files.
  • Coordinating with project teams to ensure subcontract requirements align with project schedules, budgets, and execution strategies.
  • Monitoring subcontractor performance and supporting resolution of commercial, contractual, and performance-related issues.
  • Reviewing subcontractor deliverables, schedules, invoices, and supporting documentation for compliance with contractual obligations.
  • Assisting with the administration of contract changes, amendments, variations, and change management activities.
  • Supporting invoice review and approval processes to ensure accurate and timely payment of subcontractors and service providers.
  • Communicating effectively with project teams, procurement personnel, subcontractors, suppliers, and stakeholders to facilitate efficient project execution.
  • Supporting subcontract closeout activities, including documentation, final payments, and contract completion requirements.
  • Maintaining compliance with corporate policies, procedures, customer requirements, and applicable regulations.
  • Contributing to continuous improvement initiatives that enhance subcontract administration processes, systems, and performance.

What you'll bring to the role
You bring a combination of commercial awareness, organizational skills, attention to detail, and a desire to grow within project services, procurement, contracts, or supply chain management.
  • Bachelor's degree in Business, Supply Chain Management, Construction Management, Engineering, Commercial Management, or a related discipline; or an equivalent combination of education and relevant experience.
  • Typically 3+ years of experience supporting contracts administration, subcontract administration, procurement, supply chain, project controls, project administration, or related functions.
  • Understanding of subcontracting, procurement, commercial, and project delivery processes within an industrial, engineering, construction, or project environment.
  • Experience supporting bid evaluations, contract preparation, subcontract administration, or supplier management activities.
  • Knowledge of commercial and contractual principles, including contract documents, terms and conditions, and change management processes.
  • Strong organizational skills with the ability to manage multiple assignments and competing priorities.
  • Attention to detail and the ability to maintain accurate records, documentation, and contract files.
  • Strong analytical and problem-solving skills with the ability to evaluate information and support practical solutions.
  • Effective communication and interpersonal skills with the ability to collaborate across multiple disciplines and stakeholder groups.
  • Ability to work independently within established processes while recognizing when additional guidance is required.
  • Intermediate understanding of procurement, contracts, and project management systems and tools.
  • Proficiency with Microsoft Office applications and document management systems.
  • Commitment to integrity, collaboration, continuous learning, and customer-focused project delivery.
  • Ability to build productive relationships with project teams, suppliers, contractors, and internal stakeholders.
