Royal Durham is seeking a motivated and organized HVAC Installation and Services Coordinator to oversee and support the day-to-day operations of our installed services in Lenexa, KS. This role manages scheduling, workflow coordination, inventory, installation quality, safety compliance, and customer satisfaction.

Responsibilities

Operations & Program Coordination

  • Support and oversee the installed services program to ensure high levels of customer satisfaction.
  • Coordinate installation processing, service work, order entry, and billing accuracy.
  • Schedule and assign work, adjusting workflows based on seasonal demand and call volume.
  • Identify process improvement opportunities and assist in implementing new procedures.
  • Help drive continuous improvement in service and installation operations.

Customer & Service Coordination

  • Confirm orders with retailers, dealers, and homeowners.
  • Assign installers and coordinate job scheduling.
  • Communicate with subcontractors to track job status and completion.
  • Respond to customer inquiries and help resolve concerns.
  • Partner with leadership on escalated service issues.

Business Operations Support

  • Assist in achieving operational, budgetary, and customer satisfaction goals.
  • Support decisions related to subcontracting vs. staffing needs.
  • Provide operational updates and improvement recommendations.

Team Support & Leadership

  • Provide day-to-day direction to installers and service technicians.
  • Assist with performance coaching, workflow guidance, and issue resolution.
  • Foster a positive, safe, and productive work environment.
  • Support technical training and skills development initiatives.

Quality, Safety & Compliance

  • Ensure installations follow company procedures and quality standards.
  • Participate in install audits for in-house teams and subcontractors.
  • Support compliance with safety policies, regulations, and company procedures.
  • Review technician paperwork for accuracy prior to billing.
  • Assist with permits and licensing requirements when needed.

Inventory, Equipment & Facility Oversight

  • Help safeguard facilities, vehicles, tools, and materials.
  • Support inventory control for warehouse and service vehicles.
  • Assist with cycle counts and physical inventory.
  • Report and help investigate inventory discrepancies or security concerns.

Administrative & Cross-Functional Collaboration

  • Process warranty submissions and claims.
  • Maintain product, pricing, workflow, and training documentation.
  • Collaborate with sales and other departments to support company growth.
  • Ensure all job and operational paperwork is complete and accurate

Requirements

  • Exposure to HVAC, field service, dispatch, installation coordination, or similar service environments preferred.
  • Field experience in heating and air conditioning installation is a plus, but not required.
  • Technical training or education in a related field is beneficial.
  • Valid driver’s license with satisfactory MVR.
  • Customer-focused mindset with a positive service attitude.
  • Proficiency in Microsoft Word, Excel, and Outlook. Experience in ERP systems such as Epicor and Prophet 21 is preferred but not required.
  • Strong organizational and multitasking abilities.
  • Effective verbal and written communication skills.
  • Problem-solving and conflict-resolution capabilities.
