What is a studio assistant?

Studio assistants are professionals who support artists, photographers, designers, or other creative professionals in a studio environment. Their responsibilities typically include organizing materials, setting up equipment, maintaining the workspace, and sometimes assisting directly with artistic or production tasks. They play a crucial role in ensuring that the studio runs efficiently, allowing the primary artist or creative professional to focus on their work. Studio assistants may also help with administrative duties, scheduling, and client communications, depending on the size and nature of the studio.

What does a studio assistant do?

Studio assistant is a position found in many industries, include fashion, photography, music, film and television, and beauty. If you work as a studio assistant in the music industry, your duties include updating logs, setting up recording equipment, and laying cable before a session. An artist’s or photographer’s studio assistant, on the other hand, may have more administrative responsibilities, such as scheduling meetings with clients, answering email, running errands, and coordinating the artist’s daily work plan. In a beauty salon, a studio assistant may work the reception desk, answer phones, and help with clean-up.

What skills and qualifications are needed to thrive as a studio assistant?

To thrive as a Studio Assistant, you need organizational skills, attention to detail, and a background in art or creative production, often supported by relevant coursework or experience. Familiarity with studio equipment, digital editing software, inventory systems, and basic maintenance tools is typically required. Strong communication, flexibility, and the ability to multitask help you support artists and team members effectively. These skills ensure the studio runs smoothly, projects stay on schedule, and creative processes are efficiently supported.

What are common challenges faced by studio assistants in a busy creative environment?

Studio Assistants often juggle multiple tasks such as organizing materials, supporting artists or designers, and maintaining studio equipment. A key challenge can be managing time effectively when priorities shift rapidly, especially during tight project deadlines or events. Communication is crucial, as Studio Assistants frequently coordinate with various team members, from creative leads to administrative staff. Adapting quickly to new tasks and staying organized are essential for success in this dynamic role.

Job description

Catapult Acting Studios is a busy, growing TV and Film acting studio serving youth, teen, and adult actors through audition coaching and taping, training via classes, Conservatory program, private coaching, workshops, camps, and industry events, and other services like Industry Consultations, Actor Headshots, and more. We are a small, collaborative team committed to providing world-class acting training services and a highly professional, welcoming experience for clients of all ages.

We are looking for one full-time or two part-time Studio Support Assistants (approximately 20–25 hours per week each if part-time). This is a 100% in-person position at our Atlanta studio; remote work is not available.

We're looking for resourceful, organized self-starters who figure things out, anticipate needs, and solve problems. The right person can work independently, smoothly shift priorities when plans change, and notice what needs attention without always waiting to be asked.

RESPONSIBILITIES:

  • Support daily studio operations, scheduling, classes, instructors, and client needs.
  • Work regularly in Sawyer (class management software) and Acuity (private appointment software) to manage registrations, rosters, appointments, schedules, client accounts, and class information.
  • Get to know our clients and serve them well with patience, kindness, organization and intelligence. Assist with client emails, phones, in-person support, other communications, and help prospective clients learn what we do and explain why Catapult could be a good fit for them.
  • Help maintain the info@catapultacting.com inbox, coordinated with the team, to ensure timely and professional responses.
  • Lead coverage for on-site studio opening, answering phones and general support on some days, and closing studio on other days.
  • Maintain accurate spreadsheets, data, calendars, and shared files using Google Workspace/Drive and/or other future tools.
  • Assist in planning class semesters and sessions, including dates, descriptions, and materials.
  • Keep track of outgoing emails we need to send to current students, Conservatory students, and several other segments of clients and non-clients. Need information organized and planned proactively.
  • Support coaches and staff with real-time studio needs, including room availability, schedule changes, and accommodating a variety of on-the-spot needs.
  • Help keep the studio organized, stocked, and prepared for what's coming next, including opening and closing responsibilities as needed (we have weekly cleaning service, but some duties will require light housekeeping throughout the week in between cleanings).
  • Help ensure instructors, TAs, classrooms, and materials are ready for upcoming classes.
  • Organize and secure Teaching Assistants for youth and teen classes, including outreach, scheduling, communications, assignments, and tracking.
  • Help ensure coaches are on track for their private appointments, and do what you can to support them and our clients who are coming in and out for appointments.
  • Proactively identify scheduling, registration, coverage, or operational issues and work to resolve them before they become larger problems.
  • This position might help provide basic creative support using Canva, Mailchimp, iMovie, and other digital tools. If you have these skills, please apply and let us know.
  • Catapult is continually looking for new and better way to do things - this position must be flexible and willing to see opportunity for change, and evolve what we are doing to be more effective and efficient – all with the goal to best serve our clients!

WE'RE LOOKING FOR SOMEONE WHO:

  • Is highly organized, dependable, detail-oriented, and able to work independently.
  • Is a self-starter and problem solver who is comfortable researching answers and figuring things out.
  • Is a good mix of creativity and organization — you love lists but also enjoy a good brainstorm.
  • Anticipates needs and proactively takes action rather than waiting for direction.
  • Can smoothly shift plans and priorities as studio and client needs change.
  • Is comfortable working with families, adults, teens, and children and has strong customer-service instincts.
  • Is exceptionally polite, patient, calm, and professional with clients – in person and over the phone—even in challenging or frustrating situations.
  • Communicates clearly and knows when to solve something independently and when to ask for help or escalate, and communicates updates when actions have been taken.
  • Ability to uphold necessary policies (like cancellation policies), which sometimes involves tough conversations with clients.
  • Considering the nature of Catapult and the small, close-knit team it employs, this position is expected to perform any duties as assigned with pleasure, within reasonable expectations and aligned with the employee’s skills and abilities, with a positive spirit of teamwork.

SKILLS AND EXPERIENCE

  • Strong general computer and technology skills are required. Mac experience is a strong plus.
  • Strong organizational, spreadsheet, and data-management skills are important.
  • Experience with Google Workspace/Drive and Google Sheets is strongly preferred.
  • Experience with Acuity, Canva, Mailchimp, iMovie, Sawyer or similar platforms is a plus.
  • Must be comfortable independently learning and troubleshooting unfamiliar software using available resources.
  • Comfort and a natural curiosity to use AI tools to identify ways technology can improve efficiency and processes is a strong plus.
  • Strong written and verbal communication skills.

Candidates are requested to have flexibility to adjust scheduled hours as business and studio needs change. If two part-time coordinators are hired, they will work collaboratively to help ensure appropriate studio coverage.
