The Office of the Registrar and Student Services staff are committed to strong service excellence in supporting the academic and registrarial needs of current undergraduate, graduate and professional master's students. These services include advising and administration as it relates to registration, financial need, scholarships& awards, and graduation. In addition, the Registrar's Office is responsible for recruitment and admissions of prospective students, administration of experiential learning opportunities (international, research, in-field learning courses), scheduling of academic courses and exams and providing faculty support. Your opportunity:
Reporting to the Registrar and Assistant Dean, Office of the Vice-Dean Programs, the Associate Registrar & Manager, Student Services is an integral member of the Office of the Registrar and Student Services. The Associate Registrar has responsibility for the day-to-day management and administration of academic advising, experiential education, student services, academic scheduling and instructor support, undergraduate and graduate program student support administrative functions delivered by the Office of the Registrar and Student Services.
The Associate Registrar & Manager, Student Services is responsible for the management of the staff in the unit, including responsibility for human resources and labour relations including dispute resolution and compliance of collective agreements and is responsible for developing the operational plans for the Office that articulates priorities, goals, initiatives, tactics, metrics and benchmarks to enhance the student experience. The Associate Registrar & Manager, Student Services ensures the plans are informed by extensive consultation with key stakeholders (internal and external); current and historical data; market research and competitive analysis; demographic patterns and forecasts; best practices and emerging strategies/tactics; available technology; internal context; and aligns the programs with the vision/mission/values and broader strategic priorities. In addition, they will be expected to oversee the coordination of numerous events related to the cycle of student life including recruitment events, orientation, award recognition ceremonies, and convocation.
Your responsibilities will include:
- Develop, improve, and evaluate plans and processes for all aspects of smooth and efficient student services, including registration, enrolment, awards administration, student progress, employment success, etc. and record-keeping. Assess and implement related staffing structure to meet service needs.
- Advises the Senior Leadership Team and other Faculty administrators on the applicable policies and services related to students, financial support, and University-wide decisions (e.g., financial guarantee).
- Act as a Faculty resource for University policies and processes related to the administration and reporting on student awards, including graduate awards. Develop policies and procedures to manage the approval, selection and funding for Faculty awards programs (e.g. scholarships, bursaries) including eligibility requirements, selection criteria and processes.
- Monitor, assess and recommend adjustments to the Faculty's teaching schedule and resources (teaching staff, space, teaching assistants, etc.) based on analysis of data accumulated, and knowledge of student enrolment/completion projections, the overall priorities of the Faculty of Kinesiology and Physical Education and the professional context.
- Provides direct advising and case management for the escalated challenging student and/or challenging cases.
- Leads the Experiential Education team in applying the concepts of experiential learning to existing programs and activities and in designing career education/exploration programs utilizing the learning cycle of experiential education.
- Initiates, envisions, reviews, develops and implements new policies, processes, procedures, and technologies.
- Assesses and initiates change to existing services and develops new processes that will deliver effective operations and services within the Office of the Registrar
- Day to day management of all registrarial functions for the Faculty of Kinesiology and Physical Education, including advising staff and faculty in cases of highly unusual or complex issues. Provide academic counselling services to registered students with complex issues regarding academic and administrative decisions. Refer students in distress to professional services and maintain an up-to-date awareness of services to students internal to the University community.
- Provide advice to the Registrar on policies, procedures, and guidelines related to academic matters they must be involved in.
- Manage the administration of all the Faculty's degree programs (graduate and undergraduate), including the collaborative programs, and related placements, manage staff who support these programs and collaborate closely with Directors/Program Coordinators.
Qualifications:
Education:
University degree in Adult Education, Student Development, Higher Education, Developmental or Counselling Psychology or related field required; graduate degree preferred (i.e. education); or an equivalent combination of education and experience
Experience:Â
Five (5) years of progressive experience in student academic and registrarial service and in two or more of the areas of: student advising, academic scheduling, registrarial and/or student services. At least three (3) years' experience in managing and leading staff, including the supervision of full-time appointed staff in a unionized environment. Demonstrated working experience managing nuanced student cases in relation to student mental health concerns, academic risk factors, concerns with personal safety, etc. Direct experience developing, implementing and continually evaluating registrarial & student services in a postsecondary education environment. Experience working with students from a broad range of academic, racial, economic and social backgrounds. Knowledge of academic advising best practices. Familiarity with the University of Toronto and Faculty of Arts and Science communities, its policies, regulations, and polices is an asset. Experience with data collection, management and data analysis.Â
