The Academic Records & Student Services Coordinator serves as a key member of the Registrar's Office, helping create a welcoming, responsive, and student-centered experience for students, faculty, staff, alumni, and external partners.
This position combines exceptional customer service with the accurate management of academic records, administrative processes, and technology-based workflows. This position serves as a trusted resource for questions related to registration, enrollment, academic policies, and student records, managing office inquiries while ensuring individuals receive timely assistance, accurate information, and appropriate support. The role requires the ability to interpret policies, navigate multiple technology systems, investigate and resolve complex records and systems issues, and coordinate solutions across a variety of situations and stakeholders.
The successful candidate will possess a unique combination of hospitality, technical aptitude, organization, and problem-solving skills. This role is ideal for someone who enjoys helping people, learning complex systems, managing competing priorities, and investigating issues to find accurate and effective solutions that contribute to student success
Duties and Responsibilities
Student and Faculty Service
  • Serve as a welcoming, knowledgeable, and responsive resource for students, faculty, staff, alumni, and
  • external partners through in-person, phone, and email interactions, contributing to a culture of
  • hospitality, professionalism, and student-centered service within the Registrar's Office.
  • Manage incoming inquiries to the Registrar's Office, providing timely and accurate information,
  • resolving routine questions, researching and troubleshooting more complex issues, and appropriately
  • escalating matters when needed.
  • Assist individuals in navigating academic processes and connect them with appropriate campus
  • resources.
Academic Records and Operations
  • Process academic records and administrative transactions with accuracy, attention to detail, and sound judgment while ensuring compliance with university policies and procedures.
  • Manage document workflows and electronic records through institutional systems, including Banner, Degree Works, Softdocs, and related technologies.
  • Administer transcript and diploma services, including oversight of the institution's online transcript and diploma ordering platforms, fulfillment processes, troubleshooting service issues, and related student and alumni support.
  • Support records-related processes such as enrollment verifications, grade changes, legal name changes, and other academic record transactions.
  • Maintain the confidentiality and integrity of student records in accordance with FERPA and university policies.
Technology and Process Support
  • Utilize, troubleshoot, and support multiple technology platforms, including the student information system, Microsoft Office applications, document management systems, transcript and diploma ordering platforms, and other technology solutions that support academic records and office
  • operations.
  • Provide support for student record maintenance, data entry, and transfer credit processing.
  • Analyze issues, identify root causes, and implement appropriate solutions while exercising sound judgment and attention to detail.
  • Identify opportunities for process improvement and assist with initiatives that enhance efficiency, accuracy, and service.
Collaboration and Operational Support
  • Work collaboratively with faculty, advisors, admissions staff, and other campus partners to support student success.
  • Coordinate and support operational needs of the Registrar's Office, including management of office supplies, diploma-related materials, and other departmental resources.
  • Participate in departmental initiatives and perform
  • Other duties as assigned

Typical Qualifications
Required
• Bachelor's degree.
• Demonstrated experience providing excellent customer service in a professional environment.
• Experience using Microsoft Office applications, including Word and Excel.
• Ability to learn and effectively utilize technology systems and software applications.
Preferred
• Experience in higher education, student services, academic administration, records management, admissions, or related fields.
• Professional experience working with databases or student information systems.
• Experience interpreting and applying policies, procedures, and regulations.
