The Student Success & Operations Coordinator, Part-Time MBA Programs, plays a key role in delivering an exceptional experience for students in the University of Utah's Professional MBA (PMBA) and Online MBA (OMBA) programs. This position combines student onboarding, advising, program operations, event coordination, and academic support to ensure a seamless, high-quality experience from admission through graduation.
The coordinator serves as a trusted resource for students by facilitating onboarding, supporting student success, coordinating classroom logistics, executing student engagement initiatives, and providing operational support for the programs. This position requires extensive collaboration with students, faculty, alumni, vendors, and university partners to deliver an outstanding educational experience.
The ideal candidate is highly organized, service-oriented, and thrives in a fast-paced environment where priorities shift frequently. Beyond day-to-day coordination, this individual continuously evaluates workflows, identifies opportunities to improve efficiency, and leverages technology, data, and emerging tools-including AI-to streamline processes, enhance communication, and improve the student experience. The successful candidate is curious, adaptable, and motivated to challenge traditional ways of working while maintaining exceptional attention to detail.
This position is considered essential and requires regular on-campus, in-person attendance.
Responsibilities
Student Success, Advising, and Onboarding

  • Serve as a primary point of contact for admitted and current students throughout their graduate program experience.
  • Coordinate onboarding activities that help newly admitted students successfully transition into the PMBA and OMBA programs.
  • Build meaningful relationships with students through a proactive, student-centered advising approach.
  • Conduct in-person and virtual advising appointments for an assigned student caseload.
  • Maintain accurate student records and advising documentation.
  • Connect students with university resources that promote academic, personal, and professional success.
  • Utilize systems such as Salesforce, Slack, and other university technologies to communicate proactively, monitor student engagement, and support student success.

Student Engagement and Events

  • Plan, coordinate, and execute orientations, networking events, residencies, graduation activities, student engagement programs, and other initiatives that foster community and enhance the student experience.
  • Collaborate with faculty, alumni, employers, and campus partners to create meaningful experiences that support student engagement and success.
  • Support recruitment, onboarding, retention, and alumni engagement efforts through high-quality programming and events.
  • Coordinate event logistics, communications, vendors, catering, and on-site execution.
  • Maintain accurate event records and participation data within Salesforce and other university systems.
  • Assist with budget tracking, purchasing, and event planning as assigned.
  • Assess program effectiveness and recommend enhancements to continually improve the student experience.

Academic Operations and Faculty Support

  • Coordinate classroom logistics and operational support for PMBA and OMBA courses, residencies, and special program activities.
  • Support faculty before and during class sessions by coordinating classroom needs, technology, instructional materials, catering, and student communications.
  • Utilize Canvas and other instructional technologies to support course delivery.
  • Assist with academic scheduling, program calendars, classroom reservations, and operational planning.
  • Help ensure a professional, organized, and welcoming classroom experience for students and faculty.

Operations and Continuous Improvement

  • Maintain accurate records, reports, and operational documentation across university systems.
  • Analyze data, operational metrics, and student feedback to inform decisions and improve program effectiveness.
  • Identify opportunities to improve workflows, simplify administrative processes, and enhance operational efficiency.
  • Leverage technology, automation, AI tools, and other emerging solutions to improve productivity, communication, and service delivery.
  • Recommend and implement process improvements that elevate the student and faculty experience while supporting operational excellence.
  • Contribute to a culture of innovation, continuous improvement, and exceptional customer service.
  • Perform other duties as assigned in support of the Professional MBA and Online MBA programs.
Minimum Qualifications
  • Bachelor's degree or equivalency (one year of education can be substituted for two years of related work experience).
  • 2 years' of related experience.
  • Demonstrated human relations and effective communication skills
