Job description

General Position Summary:
This position provides general clerical, administrative, and event support for the Alumni Engagement team within the Philanthropy and Alumni Engagement division at the University of Arizona Foundation. It assists with a variety of departmental operations, including data entry, file management, supply inventory, mailings, and other administrative tasks that support alumni engagement initiatives. The position serves as a point of contact for alumni inquiries received by phone and email, assists with research projects and special assignments, and provides support for alumni events through event setup, registration, and breakdown activities. Additionally, this position assists with mail merges, document preparation, campus and Foundation errands, and provides front desk coverage and relief support as needed. The role contributes to the efficient operation of the Alumni Engagement team and performs other duties as assigned.
Supervisory Responsibility:
This position is not supervisory in nature.
Essential Functions/Major Responsibilities:
  • Assist with clerical duties such as data entry, file management, inventorying supplies, and mailings.
  • Assist in answering inquiries from alumni calls and emails.
  • Help with research projects or investigative tasks.
  • Assist with event support, including load-in/out, setup/breakdown, and check-in/registration.
  • Make labels, copies, and mail documents as needed.
  • Assist supervisor with mail merges and mailings as needed.
  • Run errands throughout the UA Foundation and Main Campus.

  • Perform other duties as assigned.
Knowledge, Skills, and Abilities:
  • Excellent verbal communication and interpersonal skills.
  • Possesses strong writing and grammatical skills.
  • Ability to follow instructions and work independently.
  • Ability to focus on accuracy and to provide attention to detail.
  • The capacity to manage time and multiple priorities to meet deadlines.
  • Ability to take initiative, work independently, and proactively complete assignments with minimal supervision.
  • Experience with Microsoft Office suite applications and the internet.
  • Ability to maintain confidentiality of donor information.
Minimum Qualifications:
  • Must be currently enrolled as a UA student.
  • Must be able to work 10-19 hours per week on a regular basis.
  • Must have a valid driver's license.
Work Environment:
  • Flexible schedule, days/hours based on the department's needs and the student's class schedule.
  • Some nights and weekends may be required based on the department's needs and the student's availability.
