Job Description:

The Student Financing Associate supports the day-to-day operations of the Student Financing department, with an emphasis on lender support, student communication, financial documentation, cost estimates, and administrative processing. This position will assist students throughout the financing process while also supporting departmental initiatives designed to improve communication, consistency, and the overall student experience.

The role will work closely with Student Financing leadership and cross-functional teams to ensure students receive accurate and timely financial information throughout their training.

Essential Functions:

Lender & Student Financing Support

  • Serve as a resource for students with questions regarding approved lenders, financing options, and the general loan application process.
  • Explain lender processes, including application steps, anticipated processing timelines, documentation requirements, and disbursement expectations.
  • Assist with communication between students, Student Financing, and lenders when additional information or follow-up is required.
  • Help students understand the distinction between Academy processes and lender requirements or processing timelines.
  • Track outstanding lender-related items and assist with appropriate follow-up to help prevent unnecessary training or funding delays.

Orientation & Student Finance Materials

  • Assist with the preparation and maintenance of Student Financing packets used during new-student orientation.
  • Support the development of clear educational materials explaining Student Financing procedures, lender expectations, payment requirements, and other financial responsibilities.
  • Help identify frequently asked questions or recurring areas of confusion that should be addressed through orientation materials or student communications.
  • Ensure materials remain accurate, organized, and consistent with current Student Financing procedures.

Cost Estimates

  • Prepare and distribute student training cost estimates using established Student Financing methodology and current program information.
  • Review applicable training information and account data when preparing individualized estimates.
  • Maintain appropriate documentation of estimates provided to students.
  • Assist with the volume of estimate requests received by the department and ensure requests are completed within established turnaround expectations.
  • Support the posting of applicable Ground School and subscription-package charges.

Jacksonville & Cross-Campus Support

  • Provide Student Financing administrative support for the Jacksonville operation as assigned.
  • Assist with student account questions, lender-related matters, cost estimates, and other Student Financing requests originating from Jacksonville.
  • Coordinate with the appropriate campus teams when additional information is required to resolve a student financing matter.
  • Assist with Student Financing communications and general student inquiries.
  • Maintain accurate and organized documentation in accordance with departmental procedures.
  • Escalate complex financial, lender, or account matters to Student Financing leadership when appropriate.
  • Support departmental projects, process improvements, audits, and other operational needs as assigned.
  • Work collaboratively with Training, Academic Advising, Accounting, Admissions, and other departments when Student Financing matters require cross-functional review.

Primary Focus of This Position

      This additional position is intended to provide increased capacity within Student Financing, particularly in lender support, student financing education, cost-estimate preparation, orientation materials,             FSP administrative processing, and Jacksonville support. The position will help redistribute these responsibilities while allowing the department to improve response times, consistency, and proactive               communication with students.


Qualifications:

  • Requires a 2-year post-secondary/associate’s degree with 4 years of prior related experience or a bachelor’s degree and at least 2 years prior related experience.
  • Financial accuracy and attention to detail
  • Advanced Microsoft 365 experience
  • Excellent communication and stakeholder management abilities
  • Strong organizational and problem-solving skills
  • Ability to manage multiple priorities and high-volume requests.
  • Collaborative mindset with cross-functional teams
  • Customer-focused approach with strong interpersonal skills
  • Ability to be flexible, as the role evolves based on department and Academy needs

Preferred Additional Skills:

  • Experience in ERP systems, preferably SAP
  • Strong background in Microsoft Excel
