Mechanical Project Coordinator

Location: Corporate Office (Springfield, TN)
Department: Operations / Installation
Employment Type: Full-Time

Position Summary

We are seeking a detail-oriented Mechanical Project Coordinator to provide mid-level administrative and coordination support to our Mechanical Installation Management team and project execution crews. This role plays a critical part in ensuring mechanical installation projects are documented accurately, tracked effectively, and supported through all phases—from planning and execution through closeout.

The ideal candidate is organized, proactive, and comfortable coordinating across multiple stakeholders in a fast-paced, construction-oriented environment.

Key Responsibilities

Project & Administrative Support

  • Manage and maintain project documentation including schedules, scopes, change orders, and closeout records
  • Support project planning, startup, and turnover processes
  • Track project milestones, deadlines, and deliverables; follow up with internal teams as needed
  • Prepare project reports, summaries, and status updates
  • Prepare and manage project tool lists and coordinate material and equipment orders to support on-time delivery

Coordination & Communication

  • Serve as an administrative liaison between installation teams, project managers, engineers, clients, and suppliers
  • Coordinate meetings, site visits, and training sessions; prepare agendas and meeting minutes
  • Assist with supplier coordination and material tracking

Change Orders & Cost Tracking

  • Track scope deviations and assist in preparing change order documentation
  • Support project cost tracking, invoice review, and budget reporting

Safety & Compliance Support

  • Track safety meetings, certifications, and incident documentation
  • Assist with audits, inspections, and compliance reporting by ensuring all required documentation is current and accessible

General Administrative Functions

  • Assist with bid and proposal preparation by compiling administrative and cost-related data
  • Support calendar coordination, travel arrangements, and reporting requirements
  • Help identify professional development and skill-building opportunities for installation teams

Qualifications

  • Associate’s or Bachelor’s degree in Business Administration, Construction Management, or a related field preferred
  • Strong organizational, analytical, and multitasking skills
  • High proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint)
  • Ability to work independently, prioritize effectively, and manage multiple projects simultaneously

Experience

  • 2–4 years of experience in project coordination, administrative support, or a similar role
  • Prior experience in construction, mechanical installation, engineering, or industrial environments strongly preferred
  • Familiarity with project documentation, scheduling, and change order processes
  • Ability to problem-solve and make decisions in a fast-paced, deadline-driven environment
  • Knowledge of construction safety standards and compliance practices is a plus
  • Experience or familiarity with conveyor systems or mechanical installation processes is highly desirable
