Essential Duties & Responsibilities:

Provide administrative and coordination support to the Estimating Department throughout the bidding process. Key tasks and responsibilities include:

ยท         Coordinate bid schedules, proposal due dates, and estimating activities.

ยท         Maintain bid logs, estimating calendars, and opportunity tracking reports.

ยท         Distribute invitations to bid (ITBs) to subcontractors and suppliers.

ยท         Track subcontractor and vendor quotations and follow up to ensure timely responses.

ยท         Notify Subcontractors and vendors of final Bid/Quote disposition as necessary.

ยท         Organize and maintain drawings, specifications, addenda, and contract documents.

ยท         Prepare bid forms, proposal packages, qualifications, and submission documents.

ยท         Coordinate pre-bid meetings, site visits, and internal bid review meetings.

ยท         Assist estimators, document management, and historical cost information.

ยท         Maintain subcontractor, supplier, and equipment rental databases.

ยท         Compile bid tabulations and assist with vendor and subcontractor comparisons.

ยท         Support project turnover from estimating to project management.

ยท         Maintain confidentiality of all estimates, pricing, and bid strategies.

ยท         Maintain quality service by following organization standards.

ยท         Contribute to team effort by accomplishing related results and assisting estimators as needed.

ยท         Other Duties as required.

Education and/or Work Experience Requirement:

ยท         Associate degree in Business, Construction Management, Engineering Technology, or related field preferred.

ยท         2-5 years of construction administrative, estimating, project controls, or procurement experience preferred.

ยท         Proficiency with Microsoft Office (Excel, Word, Outlook) and Adobe Acrobat. 

ยท         Proficiency with Procore preferred.

ยท         Strong organizational and time management skills.

ยท         Excellent written and verbal communication skills.

ยท         Ability to maintain confidentiality.

ยท         Attention to detail and accuracy.

ยท         Ability to prioritize multiple deadlines in a fast-paced environment.

ยท         Knowledge of construction drawings, specifications, and bid processes preferred.

Physical Requirements:

ยท         Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA, and other federal, state, and local standards.

ยท         Ability to maintain regular, punctual attendance.

ยท         Must be able to lift and carry up to 25 lbs.

ยท         Must be able to talk, listen, and speak clearly.

ยท         Requires sedentary work that involves walking or standing some of the time, and performing routine keyboard operations.

ยท         Requires occasional jobsite visits that may involve walking over uneven surfaces, crouching, or climbing ladders or stairs. May involve exposure to cold, heat, rain, or snow.
