JOB SUMMARY
The Marketing and Business Development Coordinator plays a key role in shaping how our organization is represented in the marketplace. This position supports strategic marketing and business development efforts across proposal development, digital communications, industry participation, and relationship building.
The coordinator helps maintain key partnerships and supports new opportunities by assisting with proposal development and marketing materials. This role also helps organize and facilitate our seller-doer model, enabling team members to build relationships and pursue new business opportunities.
ESSENTIAL FUNCTIONS
  • Assist in developing and maintaining industry-leading proposal and brochure templates
  • Assist with the development of project specific proposals and qualification packages
  • Maintain list of completed projects to review for final photography
  • Facilitate and track market sector business development activities
  • Support our seller-doer model by organizing, facilitating, and coordinating marketing and business development activities
  • Support technical and professional staff in building relationships and pursuing new opportunities
  • Manage industry events database, coordinate internal participation, and represent the company at industry events
  • Maintain and update CRM system
  • Manage 'Chapman Networking Group' including monthly meetings, event coordination and budget
  • Maintain calendar, develop content, coordinate posts, and track metrics for social media accounts
  • Manage content updates to website pages
  • Manage content and distribution of weekly 'Inside Chapman' email
  • Manage the design and production of printed stationery (letterhead, business cards, etc.)
  • Maintain company signage program (jobsite signage, office artwork & signage)
  • Research Chapman promotional materials (wardrobe, giveaways, employee gifts, etc.)
  • Assist with the planning and organization of client and employee events (volunteer opportunities, teambuilding, wellness events, etc.)
  • Assist with the creation and planning of company meeting presentations and events
  • Perform other duties as required

MINIMUM REQUIREMENTS (EDUCATION/EXPERIENCE/CERTIFICATES/LICENSES)
  • Degree in Business, Marketing, Communications, or a related field with 1-2 years of AEC industry experience; or 2+ years of AEC industry experience in lieu of a degree
  • Passion for building professional relationships and representing the company at industry networking events
  • Proficiency with software particularly Microsoft Office and Adobe Creative Cloud
  • Strong organizational and project management skills
  • Exceptional attention to detail with an emphasis on quality
  • Excellent writing, communication and organizational skills
  • Strong graphic design sense with a high level of creativity
  • Ability to manage multiple projects simultaneously
  • Ability to work collaboratively with different teams
  • Ability to prioritize and meet deadlines in a fast-paced environment
  • Positive working attitude and strong work ethic
  • Valid driver's license and reliable transportation

PREFERRED QUALIFICATIONS
  • Experience supporting RFQs, RFPs, and proposal development
  • Understanding of construction project delivery process
  • Basic photography and videography skills
  • Understanding of basic marketing and business development principles
  • Proficiency with WordPress or similar content management systems

WORK ENVIRONMENT/PHYSICAL DEMANDS
  • Prolonged periods sitting at a desk and working on a computer
  • The employee must occasionally lift and/or move up to 15 pounds
  • Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus
  • The noise level in the work environment is usually moderate
  • Driving or riding in vehicles for extended periods of time is occasionally required
