Job description

Some of what you will do:

This role is a critical part of managing the Staples Retail, Staples Professional, Bell, Supreme and Denis Marketing budgets. The incumbent will be responsible for presenting to Management the overall financial health of the business. With support from the Manager of Analytics, the incumbent will coordinate the budgeting and forecasting of marketing spend forecast.  The incumbent will generate a variety of reports that keep management informed on the status of marketing expenses.  The incumbent will act as the day-to-day finance resource for all marketing programs & will work closely with all of the Marketing Managers.  The incumbent will be responsible for performing in-depth analysis and presenting key findings and recommendations concerning areas of risk or saving opportunities.  The incumbent will work closely with both internal & external stakeholders and develop both regular and ad-hoc reports as required.

Specifically, You Will:

Financial Budgeting

  • Consolidate marketing spend budget or forecast each period for the Staples Retail, Staples Professional and Bell businesses. Ensuring marketing forecasts is realistic. Adjusting forecast amounts if necessary.

  • Prepare catalog rates and circulation forecast, based on promotion plan and rates input from corporate marketing. 

  • Manage Freelance budget and forecast for both Staples Canada and Staples Professional.

  • Manage and reconcile vendor-funded marketing expenses.

  • Create new budget tracking files and GL set up new initiatives e.g. Grand Opening Stores and Bell.

Financial Reporting & Analysis

  • Provide monthly and quarterly expenses with comments to Manager and Marketing VP.

  • Submit Month End Accruals for Online, Retail, Staples Professional, Grand Opening Stores and Bell to Finance.

  • Submit Month End Forecast for all marketing channels to Finance.

  • Month End GL Reconciliation.

  • Month End Budget Review meeting with Marketing VP.

  • Monthly budget meeting with all marketing channel budget owners.

  • Generate reports for each media spend e.g. TV Media spend or Digital Spend.

  • Perform Ad hoc analysis and reports as required, e.g. Quarterly or Year over Year comparison reports, Marketing Investment Spend report & Special request reports etc.

Invoices & Payment

  • Ensure proper GL coding on invoices and make sure it applies to the right business.

  • Check all marketing related invoices against the budget to ensure the planned spending.

  • Manage Freelance invoices and payment and ensure it is charged to the correct business unit.

Some of what you need:

  • University degree (Commerce or BBA preferred) and 1-3 years of progressive experience in a similar role.

  • Proficiency MS Access and Excel.

  • Proficiency with SQL.

  • Proficiency in Brio (or similar reporting tool).

  • High degree of comfort and aptitude for data manipulation & extraction.

  • Ability to draw deep insight from complex data & present key recommendations & findings.

  • Experience with Statistical software such as SPSS and/or SAS is a benefit.

  • Experience with Oracle & Sequel Server would be an asset.

Physical demands/working conditions:

  • Office environment - Hybrid, with 4 days onsite in Richmond Hill, subject to the hybrid policy.
