How You’ll Help Fulfill the HSHM Mission

The Office Assistant role provides broad administrative support across a wide range of responsibilities within the Administration Department, including Human Resources, Volunteer Services, Accounting, Information Technology, Facilities, and Food Services. The position supports day-to-day department needs through administrative and clerical tasks, communications, scheduling, vendor support, and special projects and events. With a focus on organization, accuracy, and service, the Office Assistant helps keep administrative processes running smoothly and provides dependable support to staff across the organization. The ability to manage multiple tasks, adapt to changing priorities, and work independently is essential in this varied, high-energy position.

KEY RESPONSIBILITIES

  • Provide administrative and clerical support to the various areas within the Administration Department, including Talent Acquisition, Food Services, Accounting, IT, and Facilities.
  • Assist with volunteer correspondence, scheduling, onboarding, maintaining the volunteer database, and related administrative tasks.
  • Assist with special projects and events, including Volunteer Appreciation Week and Thanksgiving volunteer activities.
  • Provide administrative support to the Talent Acquisition Coordinator for new employee onboarding, and training compliance activities.
  • Support employee engagement and recognition activities, including birthday and anniversary recognition, preparing and maintaining new employee welcome supplies, and managing access to branded merchandise for employees and volunteers.
  • Provide administrative support for Accounting, including routine accounting tasks, vendor correspondence, and maintaining accurate vendor records, including contracts, pricing, W-9s, COIs, and other required documentation.
  • Assist Facilities with routine administrative documentation and preventative maintenance records as needed.
  • Organize and provide administrative support for department meetings, including scheduling, meeting materials, and related logistics.
  • Arrange travel logistics for staff as needed, including transportation and lodging.
  • Provide backup administrative support to other areas of the organization as needed.
  • High school diploma or equivalent.
  • Previous administrative, clerical, office, customer service, or related experience.
  • Proficiency with Microsoft Office applications and the ability to learn new software and systems.
  • Strong attention to detail and accuracy.
  • Good written, verbal, and interpersonal communication skills.
  • Ability to organize work, establish priorities, and manage multiple tasks.
  • Ability to work independently and cooperatively as part of a team.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Flexible and willing to assist with a variety of administrative needs as priorities change.
