Reporting to the Manager of Operations, the Senior Operations Coordinator provides critical, high-level support to the VPIC Team. The incumbent is responsible for managing account and systems administration and contributes to the maintenance of the independent book of record by performing reconciliation, data integrity, and reporting processes. The Operations Associate collaborates with the VPIC Trading team, Client Service team, and custodian to ensure the accurate and efficient execution of day-to-day operational processes.

The Operations Associate also supports the Operations team with the maintenance of process and procedural documentation and provides recommendations for the continuous improvement of the operations function to VPIC leaders.

What you will do

  • Maintain accurate and up to date client and financial account information in the VPIC portfolio management (PM) system.
  • Import daily trade blotters for equities and mutual funds and input client transactions.
  • Develop and maintain payment schedules for Auto Trades, PACs, and SWPs.
  • Set up records for new clients and accounts in the PM system and customer relationship management system.
  • Complete daily reconciliation of portfolio positions and security pricing between custodial and PM systems.
  • Verify trades settle as requested and client requests have been executed by the custodian as per VPIC instruction.
  • Match the details of corporate actions and other transactions in the PM system with custodial data and third-party information providers.
  • Collaborate with the VPIC Trading and Client Service teams to triage, troubleshoot, and resolve operational issues.
  • Perform book value reconciliation, performance verification and other data validation tasks as required.
  • Liaise with the PM software vendor and the VPIC custodian to resolve technical issues.
  • Provide status updates to VPIC team members and leaders.
  • Collaborate with the Operations team to review and document existing processes and procedures in support of continuous improvement and operational excellence.
  • Assist the Manager of Operations, Director of Operations, and other VPIC leaders with special projects and initiatives related to operational reporting, data quality, and integrity.

What you will bring

  • Diploma or degree in Commerce, Business Administration, Economics, or related discipline
  • Willingness to expand on professional qualifications by completing the Canadian Securities Course or similar security industry education.
  • Knowledge of investment management principles, best practices, and emerging trends.
  • Technological fluency and an ability to learn and adapt to new technology effectively.
  • Related experience in an investment or financial services environment, and knowledge of the Canadian securities industry is considered an asset.
  • Working knowledge of Salesforce and portfolio management software is considered an asset.
  • Proficiency in Microsoft Office software, with an emphasis on Microsoft Excel expertise.
  • Ability to communicate in a clear and concise manner, both verbally and in writing, to ensure effective interaction with key stakeholders.
  • High attention to detail and commitment to data quality and accuracy.
  • A strong client service mindset.
  • Advanced organizational skills, with the ability to manage time effectively and balance multiple tasks with competing priorities.

The base salary for this position is between $45,900 - $68,800 annually. This represents base salary only and does not represent other variable compensation components of our total compensation ( i.e. annual bonus, commission etc).
