Job description

Qualifications:

  • Bachelor’s Degree in Business Administration, Communications, Sports Management, or related field (preferred); Associate’s Degree or equivalent experience acceptable

  • 2+ years of experience in administrative, operations, or executive assistant roles (preferably in retail, logistics, or collectibles/e-commerce)

  • Experience processing and maintaining accurate financial and client records is a plus

  • Experience coordinating events, travel, or trade shows is strongly preferred

  • Familiarity with the sports cards and collectibles industry a plus (understanding of grading, consignments, or show logistics is highly valued)

  • Reliable transportation to and from the workplace. (required)

  • Computer skills including, but not limited to, typing

  • Organizational skills

  • Experience using eBay (preferred)

Roles & Responsibilities:

  • Manage scheduling, travel arrangements, and calendar (shows, buying trips, deliveries).

  • Maintain and update business records: invoices, receipts, consignor balances, and client communications.

  • Responsible for all billing, including rent, shows, rentals, warehouse purchases, etc.

  • Plan and coordinate company presence at regional and national sports card shows (e.g., NSCC, Hofstra, Shriner’s, Philly).

  • Coordinate logistics for pickups, freight shipments, or mail-ins of purchased or consigned collections.

  • Maintain organized purchasing records, including invoices, receipts, and appraisal notes.

  • Handle customer service emails and messages (eBay, website, social media).

  • Track consignments, payments, and outstanding balances.

  • Prepare documents such as NDAs, consignment agreements, and inventory check-in sheets.

  • Maintains employee handbook, with all policies and protocols.

  • Improve company brand recognition, website traffic and marketing via social media and other outlets.

  • Handle pre-show logistics (transport, insurance, lodging, shipping) and post-show reporting (sales recaps, expense reconciliation).

  • Oversee coordination with grading companies (PSA, Beckett, JSA, etc.) and track submission statuses.

  • Willingness to travel occasionally for shows or buying trips.

  • Availability during major events or deadlines (e.g., National Sports Collectors Convention, regional shows).

Compensation: $20-$25/hour

Company Description

We are a rapidly-growing online collectibles retailer with accounts on eBay and our own web store. As we continue to grow, we are looking for an individual to assist in upscaling our management staff and working directly with the CEO to maintain our company's daily operations.
