Accounts Receivable, Billing and Collections

As Accounts Receivable, Billing, and Collections, you will be responsible for managing and overseeing the organization's invoicing, payment processing, and customer account management. This role ensures accurate and timely collection of outstanding payments and maintains effective communication with customers to address billing inquiries or discrepancies.

Responsibilities:

  • Create and distribute customer invoices according to company practices
  • Verify and reconcile invoices with customer portals
  • Record and apply customer payments to accounts in the accounting system.
  • Monitor daily cash receipts and ensure accurate posting.
  • Process and reconcile Check, ACH and Lock Box payments.
  • Proactively follow up on overdue accounts via email, phone, or customer portals.
  • Negotiate payment arrangements with customers when necessary.
  • Escalate unresolved accounts to management or collections agencies.
  • Reconcile customer accounts to resolve discrepancies.
  • Investigate and resolve billing disputes or misapplied payments.
  • Ensure compliance with company policies and applicable accounting regulations.
  • Maintain accurate and organized records of all customer interactions and financial transactions.
  • Responsible for following company GMP and Safety guidelines and SOP’s
  • Any other tasks or projects may be assigned by the Supervisor or Manager.
  • Other duties as assigned.

Requirements:

  • Bachelor’s degree in Accounting, Finance or related field (preferred)
  • Minimum 2 – 3 years of accounts receivable experience or similar role.
  • Excellent verbal and written communication skills.
  • Ability to work independently and in a fast-paced environment.
  • Ability to anticipate work needs and interact professionally with customers.
  • Excellent organizational skills and attention to detail.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook), especially Excel.
  • Proficient in Accounting software programs.
  • Strong analytical and excellent problem-solving skills.

Education and Experience:

  • Bachelor’s degree in Accounting, Finance or related field (preferred)
  • High School Diploma or general education diploma (GED) recommended.
  • Minimum 2 – 3 years of accounts receivable experience or similar role.
  • Willingness to work overtime, if needed.

Abilities and Skills:

  • Excellent verbal and written communication skills that are necessary to work in a customer-focused working environment.
  • Good organization and business administration skills, attention to detail, and willingness to improve, learn and adapt in accordance with the modern practice methods are some of the other required skills.
  • Manage time effectively, as they may need to handle multiple functions and meet deadlines consistently.
  • Function independently with minimal supervision and should be self-motivated.
  • Must be able to work in a fast-paced environment
