Job description

Las Vegas Motorsports Park, LLC dba Speed Vegas is seeking a dependable and motivated Shop Operations Assistant to provide logistical and operational support to our automotive shop. This role keeps parts, supplies, and vehicles moving so projects stay on schedule — handling vendor runs, receiving and organizing parts, maintaining inventory accuracy, and helping keep shop records clean and current in our fleet management software. The ideal candidate has a solid mechanical interest and aptitude, is organized, reliable, and comfortable using technology, and is equally willing to drive to a vendor or sit down and reconcile an inventory count. This position works closely with technicians, shop leadership, vendors, and other departments. It offers a competitive hourly wage and industry-leading benefits.

Responsibilities:

  • Parts, Inventory, and Logistics:
    • Pick up and deliver parts, supplies, and equipment from local vendors, dealers, body shops, and repair facilities; transport materials between company facilities as needed.
    • Receive, inspect, and organize incoming parts, supplies, and equipment, confirming that what arrived matches what was ordered.
    • Maintain organized, labeled inventory and storage areas across the shop.
    • Monitor parts and consumables; conduct and reconcile inventory counts and flag discrepancies to keep on-hand quantities accurate.
    • Track parts and materials required for ongoing vehicle projects so technicians have what they need, when they need it.
    • Coordinate with vendors and contractors to ensure timely delivery of parts and services.
  • Shop Operations Support:
    • Assist technicians and shop personnel with daily operational needs.
    • Maintain clean, organized, and safe work areas; organize tools, equipment, supplies, and storage.
    • Support vehicle maintenance, repair, recon, and upfit activities as directed.
    • Move and stage vehicles around the facility.
    • Coordinate oil sampling and preventative maintenance follow-up.
    • Support special projects and shop improvement initiatives.
  • Operational Records and Coordination:
    • Maintain accurate records in company’s fleet management software, including work orders, vehicle history, and parts inventory.
    • Enter and maintain purchase orders, work orders, and invoices accurately and on time; ensure maintenance records are complete and finance-ready.
    • Keep operational documentation consistent so parts, labor, and cost data can be relied on for reporting and analysis.
    • Help flag outlier repairs or abnormal spend for shop leadership review.
    • Provide DMV/title support and general errand assistance as needed.
  • Safety and Compliance:
    • Ensure shop activities comply with OSHA standards, workplace safety protocols, and company policies.
    • Promote a culture of safety, ensuring proper use of PPE and adherence to hazard identification procedures.
    • Report safety concerns, equipment issues, or incidents promptly.
  • Vendor Relations:
    • Act as a professional representative of Speed Vegas in interactions with vendors, dealers, contractors, and customers.
    • Support timely, high-quality service that meets the shop's operational needs.

Knowledge:

  • Shop Operations: Familiarity with how an automotive shop runs, including parts flow, inventory, and vendor coordination.
  • Fleet Management Tools: Proficiency, or the ability to quickly learn, Fleetio or similar platforms for work order management and vehicle tracking.
  • Automotive Parts and Systems: Working knowledge of automotive parts and vehicle systems (preferred).
  • Safety and Compliance: Familiarity with OSHA standards and workplace safety best practices.

Skills:

Logistics and Organization:

  • Strong organizational skills and the ability to manage multiple tasks and shifting priorities in a fast-paced environment.
  • Reliable, accountable, and able to work both independently and as part of a team.

Technology and Records:

  • Proficiency with Microsoft Office (Excel, Word, Outlook) and web-based software; comfortable with data entry, record keeping, inventory management, and work order tracking. Smartsheet and Fleetio experience a plus.
  • High level of accuracy and attention to detail when entering and maintaining records.

Safety and Attention to Detail:

  • Commitment to maintaining high safety standards.
  • Strong attention to detail in keeping the shop and its records orderly and accurate.

Abilities:

  • Valid driver's license with an acceptable driving record (this role includes regular driving for vendor runs and inter-facility transport).
  • Ability to lift 50 pounds and work in various environmental conditions.
  • Strong energy and adaptability to meet the demands of a fast-paced work environment.
  • Ability to work both independently and as part of a team.

Certifications (Preferred):

  • OSHA 10

Physical Requirements:

  • Ability to perform physical activities such as lifting, climbing, walking, and stooping.
  • Comfortable working in an environment with loud noises and varying temperatures.
  • Regular use of personal protective equipment (PPE).

Work Environment:

  • Exposed to shop equipment, hazardous conditions, and extreme temperatures.
  • May require flexibility in working hours, including weekends if necessary.
