Job description

Receptionist Position

The Receptionist receives incoming calls, determines the nature of each call, and directs callers to the appropriate person or department. This position serves as the first point of contact for visitors, clients, and callers, providing professional and courteous customer service while supporting general administrative operations.

In addition, this role may provide administrative support to other departments, including Sales and Promotions, as needed.

Essential Duties and Responsibilities
  • Meet and greet customers, visitors, and clients in a professional manner.
  • Operate a multi-line switchboard telephone system.
  • Communicate with callers in a professional, friendly, and efficient manner while minimizing hold times.
  • Take detailed messages, including caller name, company name (if applicable), time of call, and message details.
  • Provide basic information and assistance to callers with general inquiries.
  • Assist with filing, scanning, copying, and other administrative duties as needed.
  • Prepare sales and service gas tickets for the Accounting Department.
  • Serve as backup support to the Sales Department Cashier.
  • Assist the General Manager with clerical and administrative duties as needed.
  • Provide administrative support to additional departments, including Sales and Promotions, as needed.
  • Attend meetings and training sessions as scheduled.
  • Perform additional duties and special projects as assigned.
  • Maintain a friendly, professional, courteous, and efficient demeanor with all customers, vendors, and employees.

Essential duties and responsibilities are those most important or most frequently performed. Employees may be required to perform other job-related duties as assigned.

Supervisory Responsibilities

None.

Minimum Requirements
  • Minimum of 2 years of recent administrative support or receptionist experience.
  • High School diploma or equivalent required.
  • Excellent written and verbal communication skills.
  • Ability to operate a multi-line telephone system.
  • Ability to read, comprehend, and follow instructions and information.
  • Strong customer service and interpersonal skills.
  • Ability to work effectively with the public and within a team environment.
  • Ability to maintain professionalism and confidentiality.

In addition to meeting the qualifications listed above, candidates must be able to perform the essential functions of the position successfully.

Preferred Qualifications
  • Bilingual English/Spanish preferred.
Physical Requirements

This position primarily involves sedentary work, including extended periods of sitting, with occasional walking or standing. The role may require light lifting and routine office movement as needed.
