Our Work Dynamics Group is currently seeking a Space Data Manager & Occupancy Planner, responsible for delivering accurate data and drawings, and occupancy reporting, within an assigned client portfolio.
What this job involves
We are seeking a detail-oriented SDM/Occupancy Planner to join our small team. As an Space Data Manager/Occupancy Planner, you will support the implementation of our innovative workplace strategies and contribute to the efficient use of our hybrid work environment. As part of a small team you will be asked to become familiar with all aspects of the account. This position will be based in Newark, NJ. This position is hybrid but on site attendance is required at least once a week.
Data Management and Reporting
  • Generate weekly, monthly and Ad hoc occupancy reports, visualizations, and space allocation/utilization reports to support decision-making processes and highlight optimization opportunities.
  • Collect, validate, and maintain accurate occupancy data in CAFM/IWMS (FMS) system, ensuring data integrity and consistency across planning systems.
  • Implement the use of new AI tools.
  • Auto CAD experience to develop scenarios and drawings as needed

Space Planning and Analysis
  • Develop space plans, test fits, and occupancy scenarios to support various business needs and initiatives.
  • Support workplace strategy, identifying opportunities for space improvements based on occupancy data and workplace guidelines.
  • Conduct occupancy studies and utilization analyses to identify opportunities for space optimization.
  • Assist in creating move plans and sequencing for office relocations and reconfigurations.

Stakeholder Support
  • Collaborate with customers and stakeholders to understand space requirements and translate them into effective occupancy solutions.
  • Develop and deliver clear, concise presentations to stakeholders, demonstrating growing confidence and executive presence.
  • Communicate effectively with cross-functional teams and support team projects.
  • Assist in preparing presentations and materials for stakeholder meetings and reviews.
  • Respond to inquiries and requests from end-users regarding space allocations and planning.
  • Perform quarterly Space audits to ensure data accuracy

Process Improvement
  • Stay informed about industry trends and emerging technologies in occupancy planning and workplace strategy.
  • Contribute to the development and refinement of occupancy planning processes and best practices.

Required Qualifications
  • Bachelor's degree in Business, Real Estate, Architecture, Interior Design, or related field.
  • 3-5 years of experience in occupancy planning, space management, or related field.
  • Familiarity with workplace strategy concepts and hybrid work environments
  • Strong analytical skills with the ability to work with complex datasets.
  • Proactive approach to problem-solving and process improvement
  • Ability to work collaboratively in a team environment and manage multiple priorities.
  • Proficiency in AutoCAD and CAFM/IWMS systems
  • Excellent communication skills, both written and verbal, with a focus on developing strong presentation abilities and executive presence.
  • Ability to effectively communicate with and present to various levels of management and clients.
  • Be proactive, adaptable, and willing to learn in a fast-paced environment.
  • Demonstrate a highly collaborative, team-oriented mindset with a customer service approach.
  • Excellent attention to detail and accuracy in data management and space planning

Preferred Qualifications
  • Bachelor's degree in Business, Real Estate, Architecture, Interior Design, or related field.
  • Working knowledge of office design principles and trends, such as mobile or collaborative workplaces

Estimated compensation for this position:
90,000.00 - 115,000.00 USD per year
This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
