The Spa Coordinator is responsible for providing exceptional guest service while ensuring the efficient daily operation of the hotel spa. This role serves as the primary point of contact for guests, managing appointments, coordinating schedules, promoting spa services, handling administrative duties, and supporting spa staff to create a seamless and relaxing guest experience. This role also assists with the wellness program and is the liaison between hotel and members.

Key Responsibilities

Guest Services

  • Welcome guests and provide a warm, professional, and personalized spa experience.
  • Assist guests with booking appointments and selecting spa treatments and packages.
  • Address guest inquiries regarding spa services, products, pricing, and facility amenities.
  • Handle guest concerns and resolve issues promptly and professionally.
  • Ensure guest confidentiality and maintain a high level of customer service at all times.

Scheduling & Reservations

  • Manage spa reservations using the spa management system.
  • Coordinate therapist and technician schedules to maximize efficiency and service quality.
  • Confirm appointments, process modifications, and manage cancellations according to spa policies.
  • Monitor daily booking levels and recommend strategies to optimize occupancy.

Administrative Support

  • Process payments, prepare daily reports, and maintain accurate records.
  • Maintain guest profiles and update client information in the reservation system.
  • Assist with inventory tracking and ordering of spa supplies and retail products.
  • Support payroll, scheduling, and operational documentation as needed.

Retail & Revenue Generation

  • Promote spa treatments, wellness programs, and retail products.
  • Recommend services and products based on guest needs.
  • Assist in achieving spa revenue goals through upselling and cross-selling opportunities.
  • Maintain attractive retail displays and ensure product availability.

Operational Support

  • Coordinate communication between spa staff, hotel departments, and guests.
  • Ensure treatment rooms, reception areas, and guest facilities meet cleanliness and presentation standards.
  • Follow all hotel policies, safety procedures, and health regulations.

Support special events, promotions, and wellness programs hosted by the spa and wellness membership program

Wage Information:

The salary range for this position is $24.00 to $31.20. Decisions regarding individual salaries will be based on a number of factors, including experience, qualifications and education.
