Job Responsibilities

As a Spa Guest Service Supervisor, you will assist the Spa Managers & Director in the supervision and support of the front office, spa and salon provider staff while ensuring exceptional service and standards are met.


Your specific duties in this role will include:


• Assist Spa Manager & Director with a variety of support tasks, i.e., running reports, filing, scheduling adjustments, preparing daily deposit, processing guest billing issues etc.
• Find solutions for issues that may arise, i.e., associate call offs & tardiness, questions or problems, last minute bookings, etc.
• Prepare internal and external correspondence.
• Promptly respond to online appointment requests and client emails sent directly to the Spa.
• Assist Spa Front Office Manager in training new Spa Coordinators to ensure their competency in areas including, but not limited to, using the Millennium system, operating policies and procedures, and meeting customer service standards.
• Provide assistance to co-workers, ensuring they understand their tasks.
• Assist management in preparing work schedules for Front Office staff.
• Occasionally assist management in preparing work schedules for provider staff.
• Assist in entering service provider schedule changes and rescheduling existing appointments.
• Have a thorough knowledge of the Millennium system and manage client and provider activity and resources within the system. 
• Answer all incoming phone calls in a friendly, courteous and timely manner using the appropriate greeting.
• Schedule and confirm appointments for all spa/salon treatments as necessary; assist clients in selecting services.
• Provide and maintain current information regarding spa staff, spa and hotel services, hours of operation, product lines, special events and promotions.
• Monitor industry trends and develop and make recommendations for menu of services of the Spa and Salon
• Perform check-in and check-out services for appointments; including greeting clients, taking coats, offering beverages, providing tours of sanctuary and locker rooms and promoting retail sales of all spa products.
• Perform opening and closing work per checklists.
• Properly record all sales transactions and secure accurate payment.
• Perform various accounting duties: i.e., credit card processing, room charges, gift card processing and activating.
• Promote retail sales of all spa products.
• Update Engineering department on any maintenance issues.
• Assist in maintaining the cleanliness of the offices, front desk, retail space, dispensaries and surrounding areas.
 

Job Requirements

We are looking for a self-motivated Spa Guest Service Supervisor with a strong work ethic and a drive to exceed expectations. It is also important that you have excellent communication and interpersonal skills as well as the ability to establish rapport with guests and colleagues.

Specific qualifications for the role include:

• 6 months to 1 years related experience; One year certificate from college or technical school; or equivalent combination of education and experience.
• Solid organizational, time-management and prioritization skills
• Exceptional customer service skills
