Administrative Assistant

Location: Everett, WA / Bellevue, WA Schedule: Hybrid – 3+ days onsite Type: Full-Time

Overview

System One is seeking an Administrative Assistant to support a cutting-edge organization focused on advancing next-generation radiopharmaceutical technologies for cancer treatment. This role will provide executive and administrative support within a fast-paced, high-growth environment supporting conference coordination, travel, onboarding activities, event planning, and day-to-day operational support.

Responsibilities

  • Support executives and partner closely with senior executive assistants on daily administrative activities
  • Coordinate conferences, meetings, and events including registrations, hotel accommodations, transportation, and scheduling logistics
  • Assist with calendar management and conference room scheduling
  • Prepare and process travel arrangements and expense reports
  • Support onboarding activities for new hires, including tracking action items and updating SharePoint resources
  • Assist with preparation of meeting agendas, note taking, and meeting logistics
  • Copy, scan, file, and maintain documentation and records
  • Edit and proofread presentations, spreadsheets, reports, and other documents
  • Travel between Bellevue and Everett sites as needed to support meetings and events
  • Provide additional administrative and operational support as assigned

Qualifications

  • 3+ years of administrative support experience in a professional environment
  • Experience coordinating conferences and events, including domestic and international travel logistics
  • Strong proficiency with Microsoft Office Suite, including Teams, OneDrive, and SharePoint
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to prioritize multiple tasks effectively
  • High attention to detail with strong proofreading and editing skills
  • Ability to work independently with minimal supervision
  • Professional demeanor with strong interpersonal and customer service skills
  • Ability to maintain confidentiality and exercise sound judgment
  • High school diploma required; college degree preferred or equivalent relevant experience

Preferred Experience

  • Experience supporting executive-level personnel
