We are seeking an Administrative Assistant who all CCI departments by handling a variety of ongoing and ad hoc administrative tasks that help keep daily operations running smoothly. This includes organizing information, coordinating routine office activities, and responding to emerging needs across the company to ensure teams stay efficient and well‑supported.



Responsibilities

  • Coordinate travel arrangements for managers and employees, including booking, modifying, and canceling plane tickets, rental cars, and hotel accommodations. Utilize platforms like Engine, airline direct sites and car rental direct sites.
  • Collaborate with marketing to obtain necessary materials and items for trade shows. Coordinate shipments of these items to trade shows. Confirm receipt of items returned from trade shows.
  • Monitor credit card charges for flights, hotels, and miscellaneous company expenses. Maintain expense reports allocating charges to the correct department.
  • Assist with in-office meeting arrangements, as needed, for refreshments, lunch, room set-up and take-down.
  • Front desk coverage, in-office as needed.
  • Work as a team player to accomplish the tasks assigned, this includes working well with others. Interaction includes peers, project coordinators, project managers, customers, vendors, etc. taking place daily or otherwise frequently.
  • Receive and enter incoming work from various sources (email, PDFs, paper, FTP sites, customer databases, etc.) into online database software accurately and within established timeframes.
  • Compilation and distribution of data and report creation as needed.
  • Ad hoc excel work, scanning, filing, shipping, and other miscellaneous office duties as directed.
  • Create and promote the company image through exercising sound and ethical business practices as related to employees, the public and customers. This includes ensuring that the service and quality provided to customers is satisfactory.
  • Maintain confidentiality on all data and information related to customers and sensitive internal reports.
  • Must support the goals and initiatives of both the department and company.
  • Other duties as assigned by management.


Qualifications


  • 3+ years of experience in a business setting within a similar role.
  • Highly skilled in Microsoft Office Suite, with advanced proficiency in Excel.
  • High attention to detail and ability to follow through on multiple priorities.
  • Adept at managing unexpected changes in priorities, seamlessly transitioning between tasks without productivity gaps, all while maintaining a flexible and understanding demeanor.
  • Clear and concise written and verbal communication, proficient in preparing comprehensive reports and plans.
  • Ability to take direction and work independently.
  • Openness to learning, adaptability, and embraces increased responsibility.
  • Highly responsible, resourceful, dependable, and self-motivated.
  • Must be able to sit for extended periods of time.
  • Must be able to use a keyboard and mouse for extended periods of time.


Shift is Monday-Friday between the hours of 8:00 a.m. to 5:00 p.m. CST but must be able to work outside normal business hours when required.
