Summary of Roleย 

TeamBuilderย is seeking an early-career Implementation Project Management Coordinator to support the execution of client implementations and ensure operational excellence across our PMO.ย 

In this role, you will work closely with a Project Manager to support the day-to-day execution of implementations. You will own project administration, coordination, and follow-through across multiple client engagements,ย ensuring nothing falls through the cracks.ย 

Over time, this role is designed to evolve fromย project support โ†’ partial ownership โ†’ full ownership of smaller implementations, with a structured development path into a full Project Manager role.ย 

Keyย Responsibilitiesย 

Project Execution & Administration (Primary Focus)ย 

You will own the operational backbone of implementation projects:ย 

  • Maintain and manage project plans in Asana (milestones, tasks, dependencies)ย 

  • Prepare meeting agendas, capture notes, and distribute recapsย 

  • Track action items and ensureย timelyย follow-up across stakeholdersย 

  • Maintain RAID logs (risks, issues, actions, dependencies)ย 

  • Prepare status reports and internal updatesย 

  • Ensure documentation is complete,ย accurate, and up to dateย 

Client Coordination & Follow-Throughย 

You will help ensure clients stay on track and engaged:ย 

  • Coordinate client-facing follow-ups and next stepsย 

  • Track outstanding deliverables and proactively follow upย 

  • Support trainingย logisticsย and completion trackingย 

  • Maintain client-facing documentation and timelinesย 

  • Draft client communications and status updatesย 

Implementation Support & Readinessย ย 

You will support the PM in keeping projects moving forward:ย 

  • Monitor project health, risks, and timelinesย 

  • Compile risks and support mitigation planningย 

  • Assistย with internal coordination across data, product, and CS teamsย 

  • Support end-user rollout readiness and communicationย 

Growth into Project Ownershipย 

This role is designed with a clear progression path:ย 

  • 0โ€“3 months:ย 
    Learnย TeamBuilderย implementation processes; fully own admin, tracking, and coordinationย 

  • 3โ€“6 months:ย 
    Begin leading portions of implementations (workstreams, smaller clients, or phases)ย 

  • 6โ€“12 months:ย 
    Progress to independently owning smaller implementations end-to-endย 

  • 12+ months:ย 
    Take on more complex projects with increasing autonomyย 

Howย Youโ€™llย Workย 

  • Partner closely with a PM who will provide guidance, mentorship, and oversightย 

  • Enable the PM to focus onย strategic implementation leadership, client alignment, and risk managementย by owning execution detailย 

  • Operate withย a high levelย of accountability in a fast-paced, evolving environmentย 

Ideal Experience and Backgroundย 

Experienceย 

~1โ€“3 years of experience in:ย ย 

  • SaaS implementation, onboarding, customer success, or project coordinationย 
  • Healthcare or healthcare technology strongly preferredย 

Core Skillsย 

  • Strong organizational and execution skills (high attention to detail)ย 

  • Ability to manage multiple priorities and follow through consistentlyย 

  • Comfortable with ambiguity and evolving processes; can operate with autonomy.

  • Strong written and verbal communication skills the enable the team/client to be informed throughout the implementation and that expectations and timelines are clearly defined.

  • Ability to interact professionallyย and connectย personally in a professional environmentย with external clientsย
