Job description

Job Summary
Provide timely and accurate administrative and field support, including daily office functions and administrative details.
Responsibilities
• Coordinates the day-to-day office operations of the VHN SDOH and community engagement Projects under the guidance of Project Manager(s) and Department Director
• Processes invoices for outside contractors, vendors, suppliers, as utilized in projects
• Handles telephone calls from vendors/companies regarding invoices and payments, obtaining and providing information as necessary.
• Handles telephone calls regarding referrals to VHN programs, participant questions and escalates any issues appropriately
• Prepares a monthly report showing the grant funding balance sheets, card usage reports, etc.
• Assist in development and sending of mailing materials to project participants
• Verifies information on reconciliation on any invoice discrepancies
• Assist with project spending and processing of purchase orders for SDOH projects under supervision of Director
• Maintains file for each project, including invoices, mileage, records, logs and related materials.
• Assist in monitoring all project activity, schedules, costs, etc.
• Works with Project Manager and Director on pricing as related to project budget in alignment with funder scope.
• Works with department director and project manager(s) and marketing team on development of appropriate content collateral for project publicity and recruitment
• Works with project manager in the procurement of delivery dates for materials, equipment, and produce.
• Assists with all aspects of a project including but not limited to design through implementation.
• Assist in project close out procedures to report necessary KPIs to appropriate stakeholders and grant department at regular intervals and at conclusion of any project
• Other duties as assigned
