JOB DESCRIPTION

POSITION: Listings Coordinator, Rental Properties

FLSA: Non-Exempt

REPORTS TO: Rental Properties Manager

SUMMARY: Entry level position serving as liaison between Wintergreen property owners and Wintergreen Resort Rental Property Department. Coordinate rental unit listings and features in property management software and on-line travel agency (OTA) booking platforms, assist with contract renewals, owner billing, owner reservations and general communications. Ensure lodging inventory is presented accurately and consistently to potential guests. Produce management reports from property management system, Springer Miller, as needed.

PRIMARY RESPONSIBLITIES:


Property Listing Management
  • Create and launch new property listings across OTA platforms
  • Input and maintain listing details including descriptions, bedding configurations, amenities, and rates
  • Upload and verify listing photos meet required standards

Data Management & Accuracy
  • Maintain and update Property Listings export spreadsheet
  • Ensure consistency with website and brand standards
  • Identify and correct discrepancies

Quality Assurance
  • Perform post-launch audits
  • Troubleshoot issues and escalate as needed
  • Ensure updates are successfully pushed to OTA systems

Listing Maintenance
  • Update listings for changes
  • Suspend or remove inactive properties
  • Improve descriptions for clarity and appeal

Coordination & Communication
  • Respond to internal inquiries
  • Assist with owner/guest questions
  • Participate in partner meetings
  • Update SOPs and documentation
  • Ad Hoc projects as necessary


Additional Duties

  • Coordinate and input rental unit listings and features in property management software and on-line booking platforms
  • Notify appropriate departments when properties join or leave the rental program
  • Issue key cards for employees and contractors based on required access
  • Prepare and distribute Home and Villa newsletter to rental partners.
  • Assist with regular evaluations of units

MINIMUM QUALIFICATIONS:
  • Basic record-keeping and report-writing
  • Proficient in Microsoft Excel plus basic computer software knowledge of MS Word, Powerpoint, etc.
  • Previous experience in guest services, rental property management or condominium resort operation preferred
  • Familiarity with SMS software preferred
  • Detail-oriented and organized, process-driven
  • Professional demeanor effectively communicating with rental property owners, partners, vendors, contractors and co-workers verbally and in written formats
  • Preferred experience with platforms such as Booking.com, AirBnB, and VRBO.

EDUCATION, TRAINING AND EXPERIENCE GUIDELINES:

High school diploma or GED, some technical training preferred.

PHYSICAL DEMANDS AND WORKING ENVIRONMENT:
  • Extensive use of computers and data input
  • Capable of climbing stairs, extensive sitting, standing, walking and bending
  • Valid VA driver’s license and able to legally operate a motor vehicle
  • Occasional lifting up to 25 lbs
