Job description

Overview

The HR Operations Coordinator supports the day-to-day operational functions of the Human Resources team by coordinating recurring HR processes, maintaining accurate employee and organizational data, handling compliance-related administration, supporting HR systems, ensuring data integrity, performing quality control reviews, and providing operational support to specialized HR functions as needed.

The HR Operations Coordinator is not expected to independently manage complex employee relations matters, interpret employment law, administer complex benefit or retirement plan requirements, or make HR policy decisions. However, the position is expected to develop a strong understanding of HR processes and systems, recognize when matters require escalation, and help identify opportunities to improve consistency, efficiency, and accuracy.

As the role develops, the HR Operations Coordinator may assume ownership of additional HR operational processes and participate more extensively in HR technology, reporting, process improvement, and compliance-support activities.

Responsibilities

HR Compliance & Process Support

  • Assist with recurring HR compliance processes and reporting requirements.
  • Support employment-related audits by gathering, validating, and organizing required HR information.
  • Support new-state and new-location HR readiness activities, including managing required workplace postings and assigned location-specific HR/Benefits requirements..
  • Help maintain HR process documentation, standard operating procedures, and internal reference materials, and assist with ensuring consistency in information across operations.
  • Perform routine quality control reviews of HR data and processes.
  • Support implementation of new or revised HR procedures, documents, policies and best practices.

HR Operations & Benefits Support

  • Coordinate assigned recurring HR and benefits administrative processes, including eligibility, reporting, reconciliation, notices, and employee-data maintenance.
  • Perform routine audits and reconciliations to identify data discrepancies and coordinate corrections with appropriate team members.
  • Prepare and maintain employee and plan-related information supporting recurring HR and benefits processes.
  • Coordinate assigned employee communications, documentation, and follow-up associated with HR and benefits programs.
  • Provide operational support to HR team members across employee relations, benefits, leave administration, compliance, and other HR functions.
  • Serve as a resource for routine HR process questions and escalate matters requiring interpretation, judgment, or specialized HR expertise.
  • Support major HR initiatives, acquisitions, implementations, and special projects.
  • Provide backup support for key HR operational processes as needed.

Motor Vehicle Record & Driver Administration

  • Coordinate Motor Vehicle Record (MVR) requests and related HR processes for employees.
  • Maintain employee driving eligibility information and related HR system data.
  • Support continuous MVR monitoring processes, notifications, and required follow-up.
  • Coordinate MVR-related information with HR leadership, Safety and Operations as needed.
  • Assist with maintaining accurate driver and automobile insurance-related HR records and processes and ensuring requirements are met before vehicle allowance payments are made.

  • Proficiency in Microsoft Office applications, particularly Excel, Outlook, and Teams.
  • Ability to learn new systems and processes quickly.

  • Ability to handle confidential and sensitive employee information appropriately.
  • Ability to work effectively with employees, managers, job site personnel, and internal departments.
  • Ability to work in a fast-paced, multi-location environment.
  • Interest in process improvement, HR systems, and operational efficiency.

Education and Experience

  • Associateโ€™s or bachelor's degree in Human Resources, Business Administration, or a related field preferred.
  • Prior experience in Human Resources, HR operations, payroll, benefits, employee-data administration, or a related field preferred.
  • Experience working with HR information systems or employee-data platforms preferred.

Physical:  While performing the essential functions of this job, the employee may be required to:

  • Remain in a stationary position (sitting or standing) for extended periods during office work and meetings.
  • Operate a computer keyboard, mouse, and other office equipment.
  • Frequently communicate and exchange accurate information in person, electronically, and during virtual or telephone meetings.
