GENERAL FUNCTION

Under the supervision of the Youth Development Director, the YLC Site Administrator will  be responsible for the daily administration, operation, and implementation of an assigned Y  Learning Center site. This position ensures the delivery of a safe, high quality, licensed  school age childcare program while supervising site staff, supporting children and families,  and maintaining compliance with YMCA standards and the State of Michigan Child Care  Licensing Rules.  

The Site Administrator serves as the designated person in charge of the site whenever the  Youth Development Manager or YLC Program Administrator is not present. This leader is  responsible for maintaining a positive, engaging, and nurturing environment that supports  the YMCA’s mission of youth development, healthy living, and social responsibility.


SITE LOCATION PLACEMENT
The Site Lead will be located at Eisenhower Elementary, part of Fraser Public Schools and will receive their school site location, from Management, based on staff availability and levels in the area.
QUALIFICATIONS
  Associate’s Degree or higher from an accredited college or university in any field of  study.
  Completed 15 hours of school age child care training.
  Requires the individual must be 19 years of age.

  Meets the requirements set forth by the state-licensing agency.

  Documentation of DHS clearance prior to starting work, and CPR, First Aid, AED, and Child Safe certifications are required within 30 days.  Complete Blood Borne Pathogens training, Redwoods, and concussion training as required.

  Ability to sit and stand from a seated position on the floor when interacting with children
  Capability to be outside for up to 30 minutes a day, year-round

JOB DUTIES & RESPONSIBILITIES
   Serve as the designated Site Administrator during all operating hours, providing day  to day operational leadership and support to the Y Learning Center.  

Ensure compliance with State of Michigan Child Care Licensing Rules, YMCA policies,  and safety standards, while maintaining a safe, welcoming and inclusive environment  for all youth participants.  

Maintain appropriate staff to child ratios and overall program quality to ensure an  optimal environment for children and families.  

Respond promptly to parent, child, and staff concerns with excellent customer  care/service, while maintaining confidentiality and being professional.  

Directly oversee and coach assigned site staff to foster teamwork, model  YMCA values, and maintain professional behavior. 

Provide daily guidance and performance feedback to ensure quality programming  and adherence to licensing compliance. 

Assist with onboarding, training, mentoring, and ongoing development of the YLC  Site team.  

Oversee the implementation of YLC programming, maintain engaging learning  environments that include age appropriate activities 

Ensure lesson plans comprehensively integrate STEM, literacy, physical activity,  character development, leadership, SEL, and CATCH curriculum.  

Support participating youth’s social, emotional, cognitive, physical, and character  development through structured and intentional activities. 

Maintain all required licensing documentation, including attendance, student records,  incident reports, and CACFP meal distribution where applicable. 

Ensure adherence to health and safety protocols by conducting and documenting  safety drills, monitoring medication administration, and executing emergency  procedures. 

Build positive relationships with the parents and families, communicating regularly  regarding children’s progress and program activities while addressing concerns  professionally and promptly. 

Partner with school administrators and community organizations, representing the  YMCA professionally within the community. 

Assist the YLC Program Leadership Team in developing, implementing, and  evaluating program policies and procedures, while maintaining accurate program,  enrollment, and participant records.  

Support daily site operations by monitoring supply inventory, notifying leadership of  supply needs, and practicing responsible use of program resources. 

Conduct regular checks of YLC spaces, classrooms, and playgrounds for adherence to  emergency procedures.  

Maintain a clean, organized, and safe program environment by actively participating  in general housekeeping and site maintenance.  

Meet and stay up to date with all qualifications for site administration role in  adherence to state childcare licensing, YMCA required training and compliance. 

Serve as the designated on-site leader during hours of program operation.  

Supervise site staff to ensure appropriate care of youth, resolving all parent, participant, partner, and staff concerns.

Attend all staff meetings and other activities (i.e. open houses, PTA meetings, etc.)  as required.

Assist and attend community events sponsored by the YMCA as  required. 

Follow all safety, blood borne, and child abuse prevention guidelines. 

Ensure a safe and nurturing environment, attending to the needs of the children at  all times. 

Document incidents and accidents by filling out an FYI for parents, and YMCA  incident Report forms, submit them to the supervisor. Communicate all emergencies to the supervisor immediately.  

Implement a consistent system for teaching, recognizing and reinforcing the YMCA  core values at your site. 

Turn in all completed sign in sheets to the supervisor on a weekly basis as required.

Assist in monitoring the quantity, quality, appearance, maintenance, and storage of  all supplies and equipment needed for program delivery. Maintain a general supply list  on an ongoing basis. 

Interact with parents, children, and school staff at all times with a smile and by  name.
