Job Description:

The Role:

Our site inBillerica, MAis seeking aSpecialist, Facilities Site Managementto join our team.

The Facilities Systems Administrator is responsible for the administration, coordination, and continuous improvement of Facilities workflow systems, contractor safety programs, preventive maintenance processes, and operational documentation. This role serves as a key liaison between Facilities Operations, EHS, contractors, vendors, and site stakeholders to ensure safe, compliant, efficient, and data-driven management of site infrastructure and support services.

What You'll Do:

Safety Program Administration

  • Administer Facilities Safe Work Permit (SWP) processes and documentation.

  • Review, create, route, and issue Safe Work Permits in accordance with site safety requirements.

  • Develop and maintain Job Hazard Analyses (JHA) and standard SWPs for recurring activities.

  • Support Contractor Safety Program administration, compliance monitoring, and record management.

  • Coordinate contractor safety training and onboarding requirements.

Facilities Systems Administration

  • Serve as site administrator for Facilitiesworkflowsystems including SAP PM, Resource Advisor, utility management applications, and vendor compliance platforms.

  • Maintain system data integrity, user access, master data, asset records, preventive maintenance plans, and operating documentation.

  • Develop and maintain user procedures, training materials, and work instructions for Facilities systems.

SAP PM Administration

  • Administer SAP Plant Maintenance (PM) workflows, work orders, notifications, and preventive maintenance schedules.

  • Coordinate SAP PM changeswith assigned techs

  • Maintain SAP PM user documentation and support end-user training.

Resource Advisor & Sustainability Administration

  • Maintain utility and sustainability data within Resource Advisor.

  • Validate utility consumption and billing information.

  • Coordinate utility data collection and analysis for management reporting.

Vendor and Contractor Management

  • Coordinate vendor service schedules and communicate site access requirements.

  • Monitor contractor compliance with site procedures, training requirements, and safety expectations.

  • Maintain approved vendor databases and supporting records.

Reporting and Metrics

  • Develop and publish monthly Facilities performance metrics and dashboards.

  • Track key performance indicators related to purchasing, invoicing, preventive maintenance compliance, utilities, vendor performance, and safety.

  • Prepare reports and presentations for Facilities leadership and site management.

Documentation and Procedures

  • Create, revise, and maintain Facilities procedures, controlled documents, and user instructions.

  • Support audit readiness through proper documentation management and record retention.

  • Participate in internal and external audits and corrective action initiatives.

  • Other duties as assigned as well as back up for Office Services

OutstandingCandidatesWillHave:

  • Associate's or bachelor'sdegree in business, Facilities Management, Engineering Technology, Environmental Science, or related discipline preferred.

  • 3-5 years of facilities, maintenance, EHS, operations, or business systems administration experience.

  • Experience with SAP PM, CMMS platforms, or other maintenance management systems.

  • Proficiency with Microsoft Excel, Power BI, and data analysis tools.

  • Strong organizational, communication, and documentation skills.

  • Ability to manage multiple priorities while supporting a fast-paced manufacturing environment.
