Job description

We are seeking a detail-oriented and highly organized Project Coordinator to support the planning, production, and installation of custom signage projects. This role serves as a key communication link between sales, design, fabrication, permitting, vendors, installers, and customers to ensure projects are completed accurately, on schedule, and within scope.

The ideal candidate has strong follow-through, excellent communication skills, and the ability to manage multiple projects in a fast-paced production environment.  Please do not apply if you do not have sign experience and/or a deep account management or project coordination background.

Key ResponsibilitiesProject Coordination
  • Coordinate sign projects from approved estimate through production, delivery, and installation.
  • Review project details, drawings, site notes, permits, materials, deadlines, and customer requirements.
  • Create and maintain project schedules, timelines, task lists, and status updates.
  • Track project milestones and proactively communicate delays, risks, or changes.
  • Ensure all departments have the information needed to complete their portion of the project.
Customer & Internal Communication
  • Serve as a primary point of contact for customers during active projects.
  • Provide timely project updates to clients, sales representatives, production teams, and management.
  • Coordinate approvals for artwork, proofs, site surveys, materials, permits, and installation dates.
  • Document customer requests, change orders, approvals, and project decisions.
Production & Installation Support
  • Work closely with designers, fabricators, printers, installers, and subcontractors.
  • Confirm material availability, production readiness, and installation requirements.
  • Coordinate site surveys, field measurements, utility checks, access needs, and landlord/property requirements.
  • Schedule installation crews, equipment, permits, and subcontractors as needed.
  • Verify that completed work matches approved specifications and quality standards.
Administrative Duties
  • Maintain accurate project records in company systems.
  • Prepare work orders, purchase requests, installation packets, and closeout documentation.
  • Track change orders, additional costs, and billing-related project updates.
  • Assist with permit applications, vendor coordination, and procurement follow-up.
  • Support project closeout, including photos, final approvals, punch lists, and customer follow-up.

QualificationsRequired
  • 2+ years of experience in project coordination, customer service, production coordination, or administrative support.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication.
  • Ability to manage multiple projects with competing deadlines.
  • High attention to detail and accuracy.
  • Comfortable working with customers, vendors, and internal production teams.
  • Proficiency with email, spreadsheets, scheduling tools, and project management or CRM systems.
Preferred
  • Experience in the sign, graphics, print, construction, fabrication, or architectural products industry.
  • Familiarity with signage types such as channel letters, monument signs, wall signs, vinyl graphics, ADA signs, wayfinding, dimensional letters, and vehicle graphics.
  • Basic understanding of drawings, proofs, measurements, materials, and installation requirements.
  • Experience coordinating permits, site surveys, vendors, or installation crews.
  • Knowledge of platforms such as Monday.com, Asana, Trello, CoreBridge, Cyrious, ShopVOX, Salesforce, or similar systems.

  • Ability to sit, stand, walk, and use a computer for extended periods.

Compensation

Compensation will be based on experience and qualifications.  This is an hourly position ($20-24 per hour) with a bonus program related to the volume and sales revenue that is supported.
