Job description

Description:

We are seeking an organized, professional, and hospitality-focused Administrative Assistant to support the daily operations of a boutique furnished apartment community. This position works closely with the General Manager and serves as a key point of contact for residents, prospective guests, vendors, and corporate partners.


Key Responsibilities:

· Manage phone calls, emails, mail, packages, and resident communications

· Maintain resident, lease, vendor, and property records

· Prepare correspondence, reports, notices, and move-in/move-out documentation

· Assist with leasing inquiries, applications, renewals, and extensions

· Coordinate resident move-ins, move-outs, housekeeping, and maintenance

· Track maintenance requests, vendor work orders, inventory, and unit readiness

· Assist with invoices, expense tracking, accounts payable/receivable, and occupancy reporting

· Maintain accurate information within property management systems

· Support implementation and training for new property management software

· Provide professional, hospitality-focused service to residents and guests

· Assist the General Manager with special projects and daily operational needs


 

Qualifications:

· 2–4 years of administrative, property management, hospitality, or customer service experience

· Strong organizational, multitasking, and time-management skills

· Excellent written and verbal communication

· Proficient in Microsoft Office, SharePoint, Outlook, and Adobe

· Dependable with excellent punctuality and attention to detail

· Ability to work independently while supporting a team

· Professional demeanor and ability to handle confidential information


Preferred: 

Experience with furnished apartments, short-term rentals, leasing, hospitality operations, or property management software.


This is primarily an office-based position with regular interaction throughout the property. Occasional evenings or weekends may be required based on operational needs.
