Job description

PLEASE NOTE: This is a short-term/temporary position that has an immediate start date and an anticipated end date of January 22nd, 2027. Estimated Monthly Salary Range of $4,166.67 to $5,833.33
The Associate: Operations (AO) position will be primarily responsible for ensuring the efficient day-to-day operations at EMNRBS. This department's responsibilities include: managing several school information platforms, family communication through various methods, and staff support. Due to the nature, responsibilities & type of position in the school, the OA can expect to work hours that are beyond a traditional school day's hours and may potentially need to work evenings & weekends should the need arise.
Key areas of responsibility for this position include: Communication (Staff, Students & their Families), Data (Gathering & Reporting to ensure local & state regulatory compliance), Enrollment (including Recruitment, Matriculation & Ongoing Support), Events (Planning, Coordination & Support) Facility Operations (including Food Services & Staff Supplies), Finance & Purchasing (including Inventory Control & Invoice Reconciliation), and Technology (Management & Maintenance of School Information Systems (SIS), Site Infrastructure, and Students' & Staffs' equipment). This position may also be asked to collaborate with, and provide additional support on an as needed basis, to the Human Resources Department.
Reporting to the Director of Operations, the AO is a full-time school support position and will work closely with a number of different key stakeholders, including: EMNRBS' Board of Directors, onsite Senior Leadership Team (SLT), Staff, Students & their Families, and External Groups (including local community members & nonprofit organizations). As such, this position requires a great deal of discretion, highly developed communication skills, and a collaborative and proactive approach to be successful.
Primary Duties & Responsibilities
  • Communication: Engaging with parents and scholars, which includes letters, emails, texts, phone calls and in-person interactions. Also, manages the distribution of MetroCards, schedules and transcripts.
  • Data: Compile and generate accurate, comprehensive reports on various aspects of student data. These reports are used to assess attendance, student demographics, academic progress, state testing and regents exam results, application information, and overall student compliance.
  • Enrollment: Attend HS fairs and outreach to potential families. Support parents during student recruitment with applications and documentation. Maintain the pupil count in order to meet school standards.
  • Events: Collaborate and support during events. Create and distribute flyers to invitees.
  • Facility Operations: Ensure maintenance requests are processed in a timely manner, ensure all common spaces up to standard in presentation and provide support gathering data for all compliance matters that need to be submitted.
  • Finance & Purchasing: Manage annual projects regarding onboarding, school staff planning, & compensation which will help ensure successful execution & alignment with organizational goals. Ensuring staff have access to print and purchasing, including but not limited to classroom supplies, subscriptions, office equipment and furniture.
  • Technology Management: Oversees the use, care, and maintenance of school copy machines, staff and student devices, access to multiple platforms, and network/server understanding. Provide training if necessary on platforms the school uses.
  • Performs other related duties as requested & assigned.

School Culture: As a member of the department crucial to the day-to-day operations of EMNRBS, the AO is expected to play a key role in the development & reinforcement of a positive school culture among the school's staff, students & parents & surrounding community. Proactive communication & collaboration, a strong sense of ownership & accountability, and willingness to is also a required part of this position's duties. The highest levels of professionalism, particularly business attire & verbal/nonverbal communication is expected at all times whether in official or unofficial capacities.
Position Qualifications
  • Professional Work Experience: 2-4 Years in an educational institution (Preferred)
  • Education Level: Bachelor's Degree (Preferred)
  • Working Knowledge: Various online platforms related to educational institutions (PowerSchool, SchoolMint, ATS, etc) (Preferred)
  • Working Knowledge: Financial control processes and procedures related to educational institutions or nonprofits (financial transaction reconciliations and inventory/supply reconciliations)
  • Working Knowledge: Hardware and Software technology (e.g. computers, chrome books, etc.) with the ability to provide basic IT support to students and teachers
  • Strong problem-solving, analytical thinking, and time management skills, with the ability to work both independently and collaboratively to drive change, meet deadlines, and manage complex tasks
  • Outstanding communication, feedback integration, and data management skills, showing initiative, accountability, and a commitment to continuous learning and improvement in a dynamic, mission-driven environment
