Fork Union Military Academy, an all-boys boarding school located in the beautiful central Virginia region near Charlottesville, Richmond, and the Blue Ridge Mountains, is seeking a dedicated professional for our business  department.

Position Summary

The Accounts Payable / Office Manager is responsible for overseeing the organization's accounts payable functions while managing the daily administrative operations of the office. This role ensures timely and accurate payment processing, efficient office operations, and provides support for the online store.

Key Responsibilities:

Accounts Payable

Process vendor invoices accurately and in a timely manner, matching invoices to purchase orders and receiving documents. Prepare and process weekly check runs and electronic payments, reconcile vendor statements, resolve discrepancies, maintain organized AP records and documentation, assist with month-end closing and financial reporting, and respond to vendor payment inquiries.

Office Management

Manage daily office operations and administrative functions by ordering office supplies, maintaining inventory, coordinating equipment maintenance and vendor services, answering phones, greeting visitors, maintaining filing systems and company records, assisting with scheduling and meetings, and providing general administrative support to staff.

Online Store Management

Maintain product listings, pricing, and inventory levels for the online store. Process online orders, coordinate shipping, respond to customer inquiries via email and phone, monitor inventory levels and communicate stock needs, coordinate promotions, ensure website content remains current, and work with internal teams to improve the customer shopping experience.

Qualifications

• 3+ years of Accounts Payable, bookkeeping or accounting experience. Experience with accounting software such as SGA, Sage, or similar ERP systems.
• Experience managing e-commerce platforms (Shopify, WooCommerce, or similar). Experience with inventory management.
• Strong Microsoft Office skills, especially Excel. Excellent organizational and time management skills.
• Strong communication and customer service abilities. Ability to prioritize multiple responsibilities and work independently.
• High level of accuracy and attention to detail.

Preferred Qualifications

• Associate or bachelor's degree in Accounting, Business Administration, or a related field.
• Experience in inventory management. Knowledge of shipping software and logistics.
• Experience in a small business or multi-role environment.
