Description
Position Summary
The Shipping Coordinator will help maintain our own in-house shuttle solution, be involved with day-to-day logistics, and administer how the shipping process is handled. They will also coordinate the shipping and logistics to and from our customers. Passionately supports the Freeman's brand in daily interactions with clients and Freeman's team members. Follows the five principles of the client interaction guidelines in all communications.
Key Responsibilities
  • Arrange shipping and associated logistics requirements for all property.
  • Coordinate with carriers and vendors to schedule inbound shipments, ensuring timely and efficient delivery, both domestic and internationally.
  • Prepare and verify shipping documents, such as packing lists, bills of lading, and customs forms.
  • Build and maintain relationships with current and new third-party shipping vendors, negotiating rates with carriers, freight forwarders, and logistics service providers.
  • Maintain daily delivery schedule and liaise with Warehouse Operations for all inbound shipments.
  • Work closely with the Auction Operations team on behalf of clients to deliver a consistent and exceptional shipping experience.
  • Perform local collections with Freeman's vehicles, where appropriate.
  • Troubleshoot and rectify logistical problems in a timely manner and ensure all parties involved are satisfied (i.e., lost packages, damaged property, rerouting of packages, etc.).
  • Communicate daily with management, clients, and other offices as needed through email and/or teams app.
  • Manage Arta and all post-sale logistics through the Arta Dashboard, including booking and overseeing outgoing shipments.
  • Manage the shipping@freemansauction.com inbox, responding to client inquiries in a timely and professional manner.
  • Triage and process third-party release forms; update systems accordingly and upload required documentation as required.
  • Manage insurance claims related to damaged property.
  • Stay updated on all local and national shipping laws regarding prohibited items including but not limited to firearms/explosives, ivory, and hazardous materials.
  • Performs other duties as assigned.

Education & Experience
  • High school diploma or equivalent required.
  • 2-3 years of industry experience preferred.
  • Prior logistical management or equivalent experience required.

Skills
  • Experience with logistical management.
  • Hands-on experience and working knowledge of third-party shipping companies such as FedEx, UPS, DHL, Malca, and Brinks.
  • Comprehensive understanding of the insurance coverage offered by each of those shipping companies along with any restrictions applicable to the type, size, or material of the item.
  • Knowledge of international shipping regulations and customs requirements, as well as import and export regulations and wildlife licensing and proven knowledge of the claims process.
  • Ability to generate shipping quotes with accuracy, considering the time and variety of materials used in the safe transportation of objects.
  • Excellent communication, interpersonal and administrative skills to effectively present information and respond to questions from clients and colleagues.
  • Clean driving record.
  • Must be to lift up to 50 pounds.
  • Strong organizational skills with the ability to multi-task, prioritize and problem solve, while working in a fast paced, deadline driven environment.

  • Operate standard office equipment proficiently, including phones, computers, copiers, and other commonly used devices or software applications.
  • Communicate clearly and effectively, both verbally and in writing, with internal teams and external contacts; sufficient hearing is required for routine interactions.
  • Understand and accurately process written materials and documentation.
  • Work efficiently in a traditional office environment, including extended periods of sitting, with the flexibility to adapt to various work settings as needed.
