Job description

I. General Summary:
Coordinates the activities in the shipping department to assure customer shipments are correct, timely and cost effective. Instructs and trains shipping department associates.
II. Essential Job Functions:
Receives instructions from computer system schedules, verbal and written directions.
Reviews and checks shipping orders and pick lists for current day's operations.
Consults with production control to determine which products are ready and available for shipment.
Follows up on daily operations, problems and schedule changes. Reports discrepancies to department manager or production department.
Assign jobs to shipping associates for current day's needs and assists in locating products ready for shipments.
Contacts customers concerning shipments or pending shipments and fax ASN's to customers after most shipments, as required.
Provides proper training to associates and issues fork truck driver's licenses after specified requirements are met.
Maintains accurate log of shipments on daily basis.
Maintains clean and orderly work areas and shipping staging areas.
Performs administrative duties for the department.
Handles all personnel matters within the department such as counseling, discipline, of associates etc. as required.
Performs and/or participates in 5S housekeeping, team activities, dress codes, safety rules and all other applicable company policies and procedures.
Administers TS19649 procedures as they apply within the assigned department.
Fosters associate involvement in continuous improvement activities.
Perform other duties incidental to the job.
III. Minimum Qualifications/Requirements:
Education:
Previous work experience in a manufacturing supervision position
in lieu of formal education would be acceptable to prepare for the position on a two to one substitution ratio. Six to nine months in the job would be required to become proficient in most phases.
Experience:
Must have a thorough knowledge of the company's shipping procedures, requirements for packaging finished products, and truck loading arrangements. Must be able to read and interpret job sheets. Must be able to plan and coordinate the shipping procedures according to schedules. Requires the ability to complete shipping records/reports and maintain specified files of shipments. Must be skilled in the use and operation of all department equipment, including fork truck.
Shipping Group Leader
Must have communication skills and know good employee relations techniques. Must have basic knowledge of computer data input procedures and specified computer applications.
COMPLEXITY OF DUTIES:
Follows company guidelines, goals and objectives for shipping procedures. Must plan, coordinate and direct all operations within the shipping area. Judgement, problem solving, initiative, analytical and evaluation skills are required.
SUPERVISION RECEIVED:
Under the general direction of the Materials Manager, operates within company guidelines where goals and objectives are established with latitude for independent thinking allowed.
RESPONSIBILITY FOR ACCURACY:
Systems are in place which would detect most errors. Inaccurate data on which decisions are based would result in errors which could range from minor to major in scope. Most procedures and functions are interrelated which would enhance the accuracy of work and diminish the likelihood of error. Customer satisfaction and company revenues could be impacted if shipping errors were not detected.
CONTACT WITH OTHERS:
Interacts frequently with coworkers, production and other members of management within the company. Outside contacts are with suppliers, customers, transportation companies and drivers. The exchange of information and technical discussions require tact, courtesy and professional decorum.
CONFIDENTIAL DATA:
Has access to personnel files, shipping volumes and costs which could be detrimental if disclosed.
MENTAL/VISUAL/PHYSICAL EFFORTS:
Close concentration to detail and mental activity are required while planning, evaluating situations, preparing reports and coordinating operations. Manual dexterity and visual acuity are required. Job duties require walking, bending, reaching, kneeling, sitting, stooping and good eye/hand/foot coordination. Specifically defined physical aspects and requirements of the job are documented in the official report of minimum Physical Safety Requirements study.
ENVIRONMENT:
Works in both office and factory environment with occasional exposure to weather conditions.
EXTENT OF SUPERVISION:
Has total operational responsibility for shipping activities and efficiency. Maintains effective organization through motivation, coaching, training, hiring, evaluation and discipline of associates. Has responsibility for departmental budget.
SCOPE OF SUPERVISION:
Oversees and directs the work efforts of approximately fifteen associates in the shipping department.
