SUMMARY:

VadaTech is a world leader in the design and manufacturing of embedded computing solutions. Due to continued growth, we are seeking candidates for the position of Shipping/Receiving Coordinator. The Shipping and Receiving Coordinator is responsible for managing the timely and accurate shipment of electronic products, ensuring all documentation is complete, accurate, and compliant with industry regulations and company standards. This role plays a critical part in maintaining efficient logistics operations, supporting inventory accuracy, and upholding documentation integrity. Working in a fast-paced electronics manufacturing environment, the coordinator ensures shipments meet quality, safety, and regulatory requirements while contributing to the overall effectiveness of the supply chain.


RESPONSIBILITIES:

  • Prepare, review, and manage all shipping and customs documentation, including bills of lading, packing lists, shipping labels, customs declarations, and export/import paperwork to ensure compliance and facilitate smooth shipments.
  • Coordinate pickups and deliveries by working closely with carriers, freight forwarders, and internal departments to ensure smooth logistics operations.
  • Ensure proper packing and handling of all outbound shipments in accordance with company standards and regulatory requirements, including adherence to ESD (Electrostatic Discharge) precautions where applicable.
  • Respond promptly to urgent or special shipping requests, ensuring accuracy and efficiency under time-sensitive conditions.
  • Review order details, verify product quantities and serial numbers, and conduct final quality inspections to ensure shipments meet company standards and order requirements.
  • Maintain accurate records of all shipments, including tracking numbers, shipping manifests, customs declarations, and related documentation.
  • Ensure compliance with international shipping regulations, including import/export laws, carrier requirements, and applicable industry standards.
  • Update inventory management systems to accurately reflect shipped items and maintain real-time stock levels.
  • Assist with inventory reconciliation and cycle counts to ensure accuracy between physical inventory and system records.
  • Receive and process incoming shipments daily against open purchase orders, verifying the supplier, purchase order number, part number, revision, quantity, and packing slip information.
  • Accurately and promptly enter receipts into the ERP system and any other required receiving, inventory, or quality-management software.
  • Inspect incoming packages and materials for visible damage, shortages, overages, incorrect items, and other discrepancies before completing the receiving transaction.
  • Verify that required documentation—including packing slips, Certificates of Conformance, material certifications, and traceability records—is included and properly maintained.
  • Identify, document, and promptly communicate receiving discrepancies or damaged shipments to Purchasing, Quality, Inventory Control, and other appropriate departments.
  • Route received materials to Incoming Inspection, the stockroom or the requesting department as required
  • Ensure received materials are properly identified, labeled and handled
  • Handle incoming electronic components and assemblies in accordance with applicable ESD, packaging, and material-handling requirements.
  • Coordinate with Purchasing, Quality, and suppliers to resolve receiving discrepancies.



Requirements:

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

  • Associate’s degree in Logistics, Supply Chain, or a related field, or equivalent relevant experience.
  • Proven experience in shipping, logistics, or supply chain operations—preferably within an electronics manufacturing environment.
  • Strong knowledge of international shipping regulations, customs documentation, and compliance requirements.
  • Familiarity with ERP or warehouse management systems, with preference given to experience using Epicor.
  • Excellent organizational skills and strong attention to detail in documentation and process execution.
  • Effective communication and coordination skills for collaborating with internal teams and external partners.
  • Ability to manage multiple priorities and perform well under pressure in a fast-paced environment.
  • Basic understanding of electronic components and proper handling procedures, including ESD (Electrostatic Discharge) precautions.

ENVIRONMENT:

  • Indoors/Engineering Labs/Manufacturing Floor

PHYSICAL DEMANDS:

  • Ability to sit and stand for extended periods of time.
  • Required to wear Personal Protective Equipment (PPE) when working on the manufacturing floor.
  • Ability to handle and lift objects weighing at least 25 lbs.
