Job description

Position Title: Shipping Coordinator

Department Location: Administration

Reports To: Purchasing and Logistics Manager

Act) Classification: Hourly non-exempt

Employee Classification: Regular, full, or part-time

Position Summary:

Responsible for ensuring the safe, timely, and cost-effective shipping of all FCI merchandise.

Position Duties:

Essential Job Functions:

  1. Shipping (70%): Processes package and freight shipments utilizing the McFly database and selects the proper shipping method based on the delivery requirements of each order. Verifies packing slip information matches shipping information in McFly and works with customer service to correct any discrepancies. Properly labels package and freight shipments and ensures timely pickup by freight carriers. Monitors all shipments to ensure timely delivery and resolve delivery issues with the freight carriers.
  1. Administration (15%): Ensures that shipping charges are accurate and properly allocated to orders processed in McFly database; resolves any discrepancies with the accounting department. Prepares packing slips daily to be reviewed by the Production department and then routed to the accounting department. Reviews invoices to verify shipping charges are correct based on negotiated rates. Research shipping prices and provide information that assists in rate negotiations with freight carriers. Provides rate quotes as needed for the Production, Sales, and Purchasing departments. Supports departmental goals to have the Shipping department operate as a revenue center.
  1. Supply Management (5%): Maintains inventory of shipping supplies including shipping labels, packing slip holders, misc. labels, and printer supplies. Orders shipping supplies from freight carriers as needed. Monitors inventory of pallets for outbound shipments and request pallets from freight carriers as needed.
  1. Claims Processing (5%): Processes damage claims with freight carriers for lost or damaged shipments. Enter information on damage claims in McFly database and updates McFly with status of claims. Follow up with freight carriers to ensure receipt of payment for claims.
  1. Other Assigned Duties (5%): Serves as the primary back up to the Receiving Coordinator and assists other departments as needed.

Qualifications:

  1. Education: High school diploma or equivalent.
  1. Experience: Minimum of one year prior to shipping and freight handling experience. Basic knowledge of shipping procedures, routes, and rates.

  1. Computer/Software and Office Equipment Skills: Basic proficiency with Windows and Mac based computer applications and Microsoft Office.

Personal Attributes Required:

Ability to work independently and in a team. Strong organizational skills. Attention to detail. Able to follow written and verbal instructions.

Essential Physical/ Mental Requirements:

  1. Work requires frequent bending, lifting, and reaching.

A3: Correctly files shipping paperwork, including packing lists, bills of lading, end of day reports, claim forms, shipping quotes, and contracts. Maintains accurate information in the McFly database.

A4: Verifies shipping charges invoiced to negotiated contracts.

A5: Files claims for lost or damaged shipments; supplies data to accounting department for tracking claims and follows up to ensure receipt of payment for claims. Updates claim status in McFly database.

A6: Maintains inventory of shipping supplies including shipping labels, packing slip holders, misc. labels, and printer supplies.

A7: Keeps dock and shipping office areas neat, clean, and organized to a professional standard.

B1: Research shipping prices and assist in rate negotiations with freight carriers.

B2: Provides rate quotes as needed for Production, Sales, and Purchasing

departments.

B3: Serves as primary backup for the Receiving Coordinator.

B4: Assists with general office duties as needed.
