Job Description
The Project Coordinator supports the Invoice Team, Project Managers, Client Services, and Operations at the SGS Life Science Services facility. The position will provide assistance to a variety of departmental professionals and senior managers. Must be capable of multi-tasking to meet the department's needs and working with multiple managers and assignments simultaneously. Must be able to follow standard procedures, communicate with all levels, and be a strong team player. Follow Training SOP for training and training records
JOB FUNCTIONS
  • Establish testing timelines in collaboration with the client and internal resources
  • Coordination of samples, and facilitation of project workflow
  • Function as primary interface with the Customer regarding the day-to-day/weekly progress and status reporting and keep internal resources aligned with client priorities
  • Work with SGS management and cross-functional Project Team members to ensure all resources are available to meet the agreed-upon timelines defined in the Project Scope
  • Work with operations to maintain detailed timelines for work in the lab
  • Work with operational management through the use of Lean and 5S principles to, drive efficiency and effectiveness
  • Report deviations to the client and work with the Department Managers with suggestions for action
  • Coordinate internal and external Project Team Meetings to ensure that all stakeholders and the customer are working in accordance with the agreed Project Plan
  • Responsible for coordinating, arranging, and preparation of customer meetings that can include campaign reviews, ad-hoc process-related meetings, etc.
  • Maintain meeting minutes and action lists resulting from technical and other external and internal project-related meetings
  • Ensure the successful completion of owned projects and resolve any issues that may hinder project success. Utilize site escalation process when necessary to resolve any project team issues. In addition, effectively lead the project team while maintaining good morale
  • Tracking and reporting of projects in accordance with an approved Project Plan (includes tasking, task owners, dependencies, and timelines)
  • Tracking of test sample status, OOSs, deviations, and CAPAs
  • Track agreed upon Key Project Related Performance Indicators
  • Track work completed against PO and SOW for the project. Report any scope creep to the appropriate department and address such with the client
  • Request additional quotes when needed to ensure all work is captured and appropriate POs are obtained for billing purposes

Qualifications
EDUCATION AND EXPERIENCE
  • Bachelor's degree in Chemistry, Biology, Pharmaceuticals, or a related science field
  • 1+ years of related experience in a CRO or other scientific laboratory
