POSITION TITLE: Financial Services Specialist
DEPARTMENT/LOCATION: Business & Finance/Education Center
STATUS: Classified - Non-Exempt, Full Time
HOURS OF WORK: 8 hours per day, 5 days per week, 242 days per year
POSITION SUMMARY: This position provides centralized financial services for assigned schools and/or departments, ensuring consistent application of district financial procedures, compliance with regulations, and timely processing of routine financial transactions.
PRIMARY DUTIES/RESPONSIBILITIES:
  • Follow documented standard operating procedures for centralized bookkeeping
  • Process routine financial transactions on behalf of assigned schools and/or departments, including purchase requisitions, purchase orders, invoices, deposits, expense reports, and stipends
  • Review transactions for completeness, accuracy, and compliance prior to submission
  • Maintain organized, audit-ready documentation in accordance with district requirements
  • Monitor budget balances and review financial transactions
  • Track open financial transactions, identify discrepancies, and coordinate follow-up actions to maintain accuracy and fiscal accountability
  • Apply district financial policies, procedures, and internal controls consistently
  • Ensure compliance with state regulations and audit requirements
  • Serve as a first-level compliance check to prevent downstream errors and rework
  • Serve as a primary point of contact for assigned schools or departments regarding routine financial transactions
  • Provide clear guidance on financial requirements and timelines
  • Coordinate with school/department staff while respecting school and department-level authority and decision-making
  • Identify recurring issues or opportunities for clarification and improvement
  • Work closely with other Business & Finance staff to ensure smooth workflow and issue resolution
  • Escalate complex or unusual issues appropriately
  • Perform other duties as assigned

Education and Experience Requirements:
• High School Diploma required
• Minimum of 2-4 years of experience in bookkeeping, finance, or related work
• Experience working with financial systems and documentation
• Experience in K-12 education finance preferred
Required Knowledge, Skills and Abilities:
• Working knowledge of standard bookkeeping practices
• Understanding of compliance requirements and internal controls in a public-sector environment
• Strong attention to detail, high degree of accuracy, and organizational skills
• Ability to manage multiple priorities and meet deadlines
• Effective written and verbal communication skills
• Ability to interpret and follow established procedures consistently
• Customer-service orientation with a focus on schools and departments
• Ability to collaborate effectively as part of a team
• Proficiency with Microsoft Office (Excel, Word, Outlook, etc.)
• Ability to self-initiate areas of opportunity, make recommendations for improvement, and follow up as necessary to achieve desired results
PHYSICAL REQUIREMENTS:
This position requires the performance of light work- Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. The position includes occasional lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching and/or crawling and significant fine finger dexterity.
