What is a set up crew?

Set Up Crew members are responsible for preparing venues, stages, or event spaces by assembling, arranging, and organizing equipment, furniture, and other necessary materials before an event takes place. They handle tasks such as setting up tables, chairs, audio-visual equipment, and decorations according to event specifications. Their work ensures that everything is in place and functioning properly so that the event runs smoothly. After the event, they may also assist with tearing down and packing up the equipment and materials. This role requires attention to detail, physical stamina, and the ability to work as part of a team.

What are the key skills and qualifications needed to thrive as a set up crew member?

To thrive as a Set Up Crew member, you need physical stamina, attention to detail, and basic understanding of event layouts, often supported by experience in manual labor or event logistics. Familiarity with tools such as dollies, hand trucks, and basic power tools is typically required, along with adherence to safety protocols. Strong teamwork, time management, and communication skills help individuals coordinate tasks efficiently and adapt to changing requirements. These skills are vital to ensure smooth event setups, minimize errors, and maintain safety and professionalism under tight deadlines.

What are some common challenges faced by a set up crew member during events, and how can they be managed effectively?

Set Up Crew members often face challenges such as tight setup schedules, last-minute changes to event layouts, and coordinating with multiple teams (like catering, AV, and decorators). To manage these challenges, clear communication, flexibility, and strong time-management skills are crucial. Being proactive—such as reviewing floor plans ahead of time and preparing backup solutions—can help ensure smooth event setups, even under pressure. Collaborating closely with supervisors and other departments also helps to resolve issues quickly as they arise.

Job description

About Special Occasions

Special Occasions is an event rental company that delivers the equipment that makes events happen — tents, tables, chairs, staging, flooring, dance floors, and more. We serve everything from small backyard gatherings to large weddings and corporate events across the region. On the day of a client's event, we are the team that showed up, set it up, and made it look right. That matters. And the people who do that work matter too.

We are a team that takes pride in showing up strong, working hard, and finishing the job right. If that sounds like you, keep reading.

The Role

Delivery Crew Members are the backbone of what we do. You are the hands on the ground — loading the trucks, making the drive, unloading the gear, and setting up the event. The work is physical, it is team-oriented, and at the end of every job you can look back at what you built and know it matters to somebody's big day.

This is an entry-level position that does not require prior experience in event rentals — just a strong work ethic, a reliable attitude, and the ability to keep up in a fast-moving crew environment. If you come in ready to work hard, support your team, and take direction well, there is a clear path forward here.

What You Will Do

  • Load rental equipment onto delivery trucks accurately and safely at the start of each shift.
  • Travel to event sites and unload equipment with care — no damaged goods, no shortcuts.
  • Set up event inventory on-site including tables, chairs, tents, staging, flooring, and specialty items as directed by your Team Lead.
  • Break down and reload equipment at the end of events quickly and completely.
  • Handle all inventory carefully — treat company equipment and client property with the same respect.
  • Follow your Lead's direction on every job — execute the plan, ask good questions, and stay focused.
  • Represent Special Occasions on every job site — your appearance, attitude, and work ethic are all part of the job.
  • Show up on time, in uniform, ready to work — every time.

What We Are Looking For

  • Physically capable of lifting 50+ lbs repeatedly and working on your feet for a full shift.
  • Reliable — if you say you will be there, you are there. On time. Ready.
  • A team player — you do not wait to be asked; you see what needs doing and you do it.
  • Coachable — you take direction without attitude and use feedback to get better.
  • A positive presence — the crew feeds off the energy of the people in it. Bring good energy.
  • Prior labor, moving, event, landscaping, or construction experience is a plus — but not required. We will train the right person.

The Details

Location: Special Occasions — [Location]

Pay: $17.00–$19.65/hr (DC1 entry) | Advancement to DC2 ($18.00–$20.80/hr) and DC3 ($19.00–$21.96/hr) based on performance Delivery Technicians are $23+

Schedule: Varies by event schedule — early mornings, evenings, and weekends are common; most shifts are Monday–Saturday

Type: Full-time; strong year-round base with peak volume in spring and summer

Reports to: Delivery Manager (day-to-day direction from your assigned Team Leader and Crew Manager)

Benefits (full-time employees):

•       9 paid holidays per year

•       Paid Time Off (PTO)

•       Medical, dental, and vision insurance

•       Company-paid life insurance

•       401(k) retirement plan with company contributions

What Growth Looks Like Here

We promote from within because we invest in the people who show up for us. The Delivery Crew path looks like this:

  • DC1 → DC2 → DC3 → Delivery Technician DT1→ DT2

Pay increases at every step. Crew members who are reliable, coachable, and show initiative get noticed and moved up. Team members can jump over to the Team Lead (TL) track for continued advancement at any time. The TLT track is specifically for crew members who want to drive and take on a lead role on-site — if that sounds like where you want to go, this is how you get there.

Our Core Values

Everything we do at Special Occasions is grounded in six values. These are not aspirational — they are how we operate, and they are what we hire for.

  • ◆ Dependability: We show up, follow through, and our clients and teammates can count on us.
  • ◆ Teamwork: We win together. No personal beefs — we have each other's backs every shift.
  • ◆ Grit: We do the hard things. When the work gets tough, we push through.
  • ◆ Proud: We take pride in our work, our equipment, our appearance, and the company we represent.
  • ◆ Optimism: We bring positive energy to the work. Problems are temporary; solutions are what we chase.
  • ◆ Growth Mindset: We stay curious, seek feedback, and work to get better every day.

If these values describe how you already operate, you will fit right in here.

Why Special Occasions

  • The work is physical and satisfying — you can see exactly what you accomplished at the end of every job.
  • A crew that has your back. We work hard together and we take care of each other.
  • No experience required — we train you right and set you up to succeed from day one.
  • A clear path up for anyone who earns it. We would rather promote someone who knows our operation than hire a stranger.
  • A company that takes pride in what it does — and wants crew members who feel the same way.

How to Apply

Apply with your resume or just a quick note about your work history and why you are interested. We move fast — if you look like a fit, we will get you in quickly. No lengthy process, no games.

We hire on work ethic, values and character — full stop. We aren't worried about your past, only your future and we can train you in all of the skills you need!
