POSITION SUMMARY


The Assistant Project Manager (APM) supports the Project Management and Design teams in coordinating commercial construction and renovation projects from project initiation through design completion and into construction. This role assists with project scheduling, documentation, client communication, permitting, and cross-functional coordination while gaining exposure to all phases of the project lifecycle. It is an excellent opportunity for someone looking to build a career in project management, with the potential to grow into a Project Manager role.

KEY RESPONSIBILITIES

1. Project Initiation

  • Coordinate site surveys and building scans.
  • Schedule project kick-off meetings with designers, clients, and brand representatives.
  • Prepare project documentation and ensure all required information is collected before project launch.


2. Design Coordination

  • Support the Project Manager during client meetings and design presentations.
  • Coordinate with the design team to track Architectural and MEP drawing progress.
  • Monitor project milestones and follow up on outstanding deliverables.
  • Assist in coordinating drawing reviews and documenting client feedback.
  • Provide administrative and coordination support throughout the design process.


3. Pre-Construction Support

  • Assist the Pre-Construction team with estimating coordination.
  • Support the preparation of construction proposals and project documentation.
  • Ensure project information is complete and accurately shared between departments.


4. Permitting

  • Assist with the permitting process for assigned projects.
  • Coordinate permit documentation with internal teams and external agencies.
  • Track permit status and follow up as required.


5. Construction Coordination

  • Support project hand-off from Design to Construction.
  • Assist with pre-construction meetings and ensure project documentation is complete.
  • Respond to requests from internal teams and help resolve project-related issues.


6. Project Reporting

  • Maintain project schedules and update Smartsheet reports.
  • Monitor project budgets, timelines, and key milestones.
  • Prepare project status reports and escalate risks or concerns to the Project Manager.


QUALIFICATIONS

  • 2-3 years of experience managing multiple concurrent projects in commercial construction, restaurant/QSR, retail, or architectural design environments.
  • Working knowledge of architectural, MEP, and construction documentation, and familiarity with permitting processes.
  • Strong client-facing communication skills; comfortable presenting design concepts and proposals directly to clients and brand representatives.
  • Highly organized, deadline-driven, and comfortable owning schedule, budget, and GP% accountability.
  • Proficiency with project tracking tools such as Smartsheet; familiarity with AUTOCAD, Revit, or similar design software is an asset.
  • Ability to work cross-functionally with design, pre-construction, sales, and construction teams.


WORK CONDITIONS

  • In Person First Workplace - approximately 2 days/week, remote-based on role requirements
