Administrative Assistant – Clarksville, TN

TTL’s Clarksville office is seeking a highly organized Administrative Assistant to help manage the fast-paced environment of a growing professional services team. This role supports the office manager, project managers, staff, clients, and visitors while ensuring the office operates efficiently and professionally. The ideal candidate is a proactive multitasker with exceptional communication skills, attention to detail, and a commitment to providing outstanding customer service.

This position is responsible for supporting daily office operations, coordinating office activities, maintaining records, and providing administrative support to staff and executives. Success in this role requires adaptability, professionalism, confidentiality, and the ability to efficiently manage multiple responsibilities in a dynamic environment.

What You'll Do:

  • Answer phones and transfer calls in a friendly, professional, and timely manner.
  • Welcome clients, visitors, and employees while creating a positive first impression of the company.
  • Handle incoming and outgoing mail, FedEx, UPS, and other deliveries.
  • Assist with daily office operations and maintain a clean, organized, and professional work environment.
  • Monitor office supply inventory, coffee bar, lobby refreshments, and other office resources.
  • Coordinate meetings, appointments, office events, and employee functions as needed.
  • Maintain office records and filing systems.
  • Set up projects in Deltek software and ensure compliance with company procedures and billing requirements as needed.
  • Review correspondence and reports for accuracy, grammar, formatting, and professionalism.
  • Recognize issues requiring immediate attention and communicate them promptly to the Office Manager.
  • Provide general administrative support to staff, project managers, and leadership as needed.


Qualifications:

  • High school diploma or equivalent required.
  • 1–2 years of administrative experience preferred; relevant college education may be considered in lieu of experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Strong organizational, time management, and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Detail-oriented with the ability to proofread reports and identify grammatical or formatting errors.
  • Self-starter capable of working independently and within a team environment.
  • Strong interpersonal skills and a customer-service mindset.
  • Ability to remain flexible and adapt to changing priorities.
