Job description

We are looking for a motivated, organized, and customer-focused Inside Sales / Service Writer to join our team.

This position plays a key role in supporting both our HVAC and Electrical service departments by helping customers understand their repair, replacement, upgrade, and installation options. The Inside Sales / Service Writer will prepare estimates, follow up on open proposals, communicate with customers, and help turn technician recommendations into completed work.

The right person will be comfortable talking with customers, working closely with technicians and dispatch, and keeping multiple details organized throughout the day.

Responsibilities
  • Prepare HVAC and electrical service estimates based on technician findings.
  • Create repair, replacement, upgrade, and installation proposals.
  • Communicate with customers by phone, text, and email regarding recommendations, pricing, approvals, and scheduling.
  • Follow up on open estimates, unsold proposals, and pending customer decisions.
  • Help customers understand their HVAC and electrical options clearly and professionally.
  • Work closely with HVAC technicians, electricians, dispatchers, and department managers.
  • Enter notes, estimates, approvals, and updates into company software.
  • Assist with parts, materials, photos, technician notes, and job details needed to complete estimates.
  • Support both departments in meeting sales, scheduling, and customer service goals.
  • Maintain a professional, helpful, and solution-focused attitude with customers and team members.
Qualifications
  • Prior HVAC, electrical, service writing, inside sales, dispatch, or customer service experience preferred.
  • Strong phone, communication, and follow-up skills.
  • Ability to explain service recommendations clearly and professionally.
  • Comfortable asking for the sale and following up with customers.
  • Organized, detail-oriented, and able to manage multiple tasks at once.
