Job description

OPERATIONS ASSISTANT

JOB SUMMARY

The Operations Assistant is responsible for a variety of general office duties and tasks. This position reports directly to the General Manager and Assistant General Manager.

JOB DUTIES AND ESSENTIAL FUNCTIONS

The Operations Assistant performs a variety of skilled and semi-skilled clerical functions, which may include, but are not limited to the following:

Type letters, memoranda, reports, proposals, bids, and other documents.

Copy completed reports and schedules.

Various clerical tasks and duties requiring a combination of good working knowledge of and practical experience in general office procedures and practices.

File and maintain files and filing systems in good order.

Maintain photocopy and fax machines.

Maintain a task list and provide regular follow-up, as required on Water Service Information Requests.

Order and stock office supplies.

Distribute incoming and collect outgoing mail.

Monitor incoming and send outgoing faxes, and distribute accordingly.

Prepare safety meeting test, track, and file documents for safety meetings.

Answer telephones, take telephone and voicemail messages, and perform other tasks and duties as required.

Filing of daily logs and inspection reports.

Filing of daily plant records.

SKILLS, KNOWLEDGE AND PHYSICAL REQUIREMENTS

Skills, knowledge and physical requirements include, but are not limited to the following:

Ability to accurately type a minimum of 45 words per minute using a personal computer.

Excellent personal computer skills and proficiency with Word, Excel and databases.

Working knowledge of fax machine, copier and other office equipment.

Knowledge of and ability to use Internet communications and e-mail.

Ability to communicate effectively, both orally and in writing.

Ability to follow oral and written instructions.

Must be able to write legibly, have good reading comprehension, and good grammatical and spelling skills.

Good alphabetical and numerical filing capability.

Ability to work independently with little or no supervision or assistance.

Ability to interact with supervisors, co-workers, and other employees in a cooperative and professional manner.

Must have professional demeanor and appearance, be dependable and punctual.

Ability to perform repetitive physical activities using feet, legs, hands, and arms, and which include use of keyboard, multiline telephone/switchboard, walk, sit, bend, stoop, climb stairs, lift up to 15 lbs., reach, grasp, push, and pull.

EDUCATION, TRAINING AND EXPERIENCE

The following are required:

High school graduate or equivalent

Minimum two years of clerical and typing experience.

Valid Arizona driver's license and acceptable driving record.
