Job description

POSITION OVERVIEW:
This position is responsible for providing the Coordination backbone for the Aftermarket Department. Through regular interface with Field Team employees and internal stakeholders the Service Coordinator ensures corporate policies are adhered to, communicates and coordinates needed information and provides the initial point of contact for Service Customers.
KEY JOB RESPONSIBILITIES:
  • Maintain the Excel based service tools and their interface with ERP and Autodesk Software
  • Coordinate planning and billing of all service work: warranty, project support and service jobs
  • Assist with tracking and quality assurance of all service-related information, such as time sheet, daily report submittal, and JHA's to ensure all appropriate records are maintained within TAS
  • Coordinate Visa and Passport information for traveling Field Engineers, interfacing and communicating with Legal and HR when necessary
  • Coordinate site safety and security compliance training and screening for Field Engineers
  • Maintain on-call list and implement notification for field personnel
  • Coordinate some travel arrangements when support is required
  • Taking service inquiry calls from customers or clients
  • Act as first point of contact for customer service, assessing needs and escalating appropriately
  • Assist with maintaining the schedule of planned and anticipated field service needs to ensure gaps are identified as soon as possible and clients' needs are met in a timely manner
  • Open and close Service Jobs in LN
  • Assist with ordering and shipping of parts in coordination with the Parts Coordinator
  • Any other duties as assigned by TAS.

JOB SKILLS:
  • Excellent communication, organizational and time management skills
  • Must be self-motivated and have the ability to handle multiple and shifting priorities
  • Ability to work independently
  • Proficient in MS Office, MS Project, and database usage.
  • Strong Microsoft Excel Skills including use of pivot tables, macros, data validation, and conditional formatting

EDUCATION & TRAINING:
  • Associate's degree in business administration or accounting program desired.
  • A substitution of military leadership and/or work experience will be considered in lieu of an associate's degree.

MINIMUM REQUIREMENTS:
  • 3-5 years in the parts distribution industry
  • 1-3 years experience in office administration

PREFERRED REQUIREMENTS:
  • HVAC Service Dispatch Experience

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
Position is at least 80% to 95% at a desk working with computer. Ability to exert up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Performs other physical activities including use of fingers, sitting, stooping, bending, crouching, talking, hearing, and performing repetitive motions. Visual acuity requirements include color, depth perception and field of vision necessary to prepare and analyze data and figures, operate a computer terminal, and conduct extensive reading. The incumbent will be subject to inside environmental conditions.
