ABOUT YOUR ROLE

In this role, you will be reporting to the Associate Chief of Staff ("ACoS") and will be working in close collaboration with the Executive Assistant, Office of the president and CEO & People and Corporate Development Office in order to provide them with support in helping them operate with efficiency and agility. The ideal candidate will be proactive and discreet, have an agile mindset and will have strong collaboration, organizational and communication skills.

As a Senior Administrative Assistant, Office of the President and CEO, you'll:

  • Support the ACoS and Executive Assistant, People and Corporate Development Office in ensuring effective day-to-day operations for the CEO, Office of the President and CEO and People and Corporate Development teams

  • Support in managing complex calendars, agendas, meetings, appointments and priorities for the CEO, Office of the President and CEO, and People and Corporate Development Office

  • Calendar triage and coordination support of meetings with external partners, internal stakeholders and senior executives, including logistics and follow-ups

  • Support the coordination of travel arrangements and itineraries for the CEO, Office of the President and CEO, and People and Corporate Development team in accordance with internal policies

  • Perform administrative duties, including meeting planning, travel coordination and general support for assigned leaders and team members

  • Maintain contact databases and ensure DealCloud information is accurate, up to date

  • Act as a liaison with internal stakeholders, external partners and senior-level contacts, including responding to calls and emails as appropriate

  • Prepare, process and validate expense reports, invoices, approvals, compliance submissions and gift disclosures in a timely manner

  • Build and maintain an internal network to support progress, resolve matters efficiently and work with autonomy

  • Ensure requests for action or information are directed to the appropriate team members and followed up as needed

  • Support event planning and assist with ad hoc team requests to facilitate smooth team operations

  • Backup support to the Executive Assistant, Office of the president and CEO, People and Corporate Development Office during absences

WHAT YOU'LL NEED
  • Bachelor's degree, an asset

  • A minimum of five (5) years related experience in a similar position, preferably in a financial or professional environment

  • Advanced knowledge of Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, Teams (Live Meetings), OneDrive) and other department specific systems. Experience with Concur, and travel agency providers, an asset

  • High level of professionalism, diplomacy and discretion

  • Strong collaboration skills and ability to build trusted working relationships with internal stakeholders, senior leaders, external partners and administrative colleagues

  • Strong communication skills, both written and spoken

  • Excellent client service approach and ability to respond in a timely and positive manner to unexpected requests

  • Ability to identify, analyze and solve problems and to escalate appropriately with a solution-oriented approach

  • Aptitude for processing detailed information with great accuracy and attention to detail by using specific approaches and tools for checking outputs

  • Ability to prioritize and multitask multiple concurrent tasks

  • Experience in proof reading and editing

  • Good capacity in learning new technologies to become proficient with day-to-day systems to perform assigned tasks

  • Bilingualism: English and French (frequent interactions in English with PSP employees based in our offices in Hong Kong, London and New York, and interactions in French with employees in our local offices in Montreal and Ottawa)
