Job description

Executive Administrative Support Lead

Join USfalcon and lead a mission-critical program supporting the Air Force Nuclear Weapons Center (AFNWC) and USSTRATCOM. The Executive Administrative Support Lead will be the operational backbone for senior leadership, driving the success of Advisory & Assistance Services (A&AS) across critical Business, Engineering, and Cybersecurity sectors. This is a high-visibility, classified mission that directly enables the success of our nation's most complex IT and mission programs.

The Executive Administrative Support contractor will provide comprehensive executive-level staff support and Program Management assistance to ensure efficient operations for senior managers and organizational staff. This role is responsible for maintaining the historical and operational integrity of the Directorate by managing high-level correspondence, coordinating complex multi-agency engagements, and ensuring seamless execution of daily and travel schedules. The lead will serve as a vital link between the program office and senior stakeholders.

Essential duties include:

  • Draft documents for leadership approval and signature; disseminate program policy and initiative guidance.
  • Coordinate, document, monitor, and support meetings and conferences, including scheduling and setup for physical and virtual meetings.
  • Prepare background materials, invite participants, and ensure meeting documentation (attendance logs, minutes, action items) is filed per policy.
  • Maintain scheduling documents and requirements for video/online conferencing, including equipment setup instructions and maintenance logs.
  • Organize and maintain historical files of key documents providing guidance from National Leadership, OSD, DOE/NNSA, Joint Staff, USSTRATCOM, and other agencies.
  • Provide primary support for organizing and documenting user community forums, In Progress Reviews, working groups, O-6/Flag Officer engagements, and Combatant Commander-level reviews.
  • Manage calendars, travel schedules, meetings, correspondence, and office operations; route calls and messages appropriately.
  • Support delivery of GFI to senior leadership and maintain control/accountability for classified material.
  • Create and maintain activity-level schedules for projects, meetings, and routine business; support system progress/status reporting by tracking and analyzing issues.
  • Prepare meeting agendas, minutes, and other documentation as required.
  • Coordinate distinguished visitor visits through protocol and senior staff.

Required qualifications include:

  • 10+ years of experience providing executive-level administrative support in a DoD or government environment.
  • Strong organizational skills with ability to manage multiple priorities and deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms (Teams, Zoom, etc.).
  • Experience preparing official correspondence, meeting agendas, minutes, and action tracking.
  • Knowledge of DoD travel systems and processes (DTS, CBA reconciliation).
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and accountability for classified material.

Preferred qualifications include:

  • Experience supporting senior leadership engagements and high-level meetings.
  • Familiarity with DoD Financial Management Regulation (DODFMR) and travel policies.
  • Prior experience in AFNWC/NCC or similar DoD organizations.
  • Ability to work independently in a fast-paced, classified environment

Education/certification: Master's Degree in related field

Required clearance: Top Secret w/SCI eligibility
